Job Description:
The Sandra Day O'Connor College of Law seeks an Academic Personnel Specialist Sr. who provides advanced, professional-level support for the full range of academic-personnel processes within the College of Law. This role serves as a subject-matter expert on faculty and academic-professional personnel actions and is the primary liaison between academic units, the Dean's Office, the Office of the University Provost, and other university partners. The Senior Specialist interprets policy, ensures compliance, manages complex personnel reviews, and leads or oversees major academic-personnel functions such as promotion and tenure, faculty hiring, sabbaticals, and multi-year reviews.
Salary Range: $65,000 - $70,000 per year; DOE
Essential Duties:
- Manage and coordinate complex academic-personnel actions, including:
- Tenure-track and career-track faculty hiring
- Promotion & Tenure (P&T) processes, committee coordination, and Provost Office submissions
- Career-track and academic professional promotions
- Annual performance evaluations
- Probationary reviews and continuing appointment processes
- Sabbatical applications and approvals
- Emeritus/emerita nominations
- Ensure accuracy, compliance, and timely completion of all actions in accordance with ASU, college, and ABOR policies.
- Serve as the college's recognized expert on academic-personnel policies, regulations, and procedures.
- Interpret and explain university and ABOR policies to faculty, directors, chairs, and senior leadership.
- Provide training, consulting, and troubleshooting on APARS/Interfolio, RPT, Faculty Search, ASU Vita, and related systems.
- Monitor policy updates and implement required changes to unit processes.
- Support and coordinate high-level committees such as promotion & tenure committees, sabbatical committees, and academic-personnel review committees.
- Advise faculty leadership on required timelines, workflow steps, confidentiality practices, and documentation standards.
- Prepare meeting materials, guide committee members through system use, and ensure procedural integrity.
- Draft, review, and process complex and sensitive academic-personnel documents, including offer letters, reappointment letters, promotion/tenure letters, and sabbatical approvals.
- Oversee the collection, organization, and accuracy of academic-personnel materials submitted to the Provost's Office.
- Maintain and secure confidential personnel files in accordance with university standards.
- Develop and manage tracking tools for deadlines, reviews, and compliance requirements.
- Develop, implement, and refine operating procedures to streamline academic-personnel processes.
- Lead special projects related to faculty affairs, review cycles, system implementation, and compliance initiatives.
- Represent the college in university-wide meetings or working groups related to academic personnel, policy, or systems.
- Work closely with the Provost's Office, Office of General Counsel (OGC), and other administrative partners.
- Support strategic initiatives and academic-personnel planning by the Dean.
Desired Qualifications:
- Preference will be given to ASU candidates.
- Experience in academic-personnel administration, faculty affairs, or higher-education policy.
- Demonstrated expertise with Interfolio/APARS, RPT, ASU Vita, and faculty-review systems.
- Experience coordinating promotion and tenure processes at a college or university level.
- Strong writing/editing skills and familiarity with academic personnel correspondence.
- Ability to manage multiple complex workflows in a deadline-driven environment.
- Experience advising leadership and committees on policy and procedure.
- High attention to detail and ability to maintain strict confidentiality.
Working Environment:
- Office setting with prolonged computer use.
- High volume of work during annual review and P&T cycles.
- Frequent interaction with faculty, chairs, directors, deans, and Provost Office staff.
- Must be able to manage sensitive situations with professionalism, discretion, and diplomacy.
- Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Receive and participate in regular review of completed tasks for achievement of established objectives.
