Job Description:
Under the direction of the Project Director, this position supports the administration, coordination, and evaluation of the Rural Health Professions Program (RHPP) and AHEC Scholars Program (ASP). The role contributes to student engagement, academic program delivery, and community-based learning initiatives focused on rural and medically underserved populations. 
The Academic Program Assistant provides operational, administrative, and technical support for program activities, including community partnership development, data management, reporting, and event coordination. This position plays a key role in ensuring program effectiveness, supporting student experiences, and maintaining compliance with grant and institutional requirements.
Position Salary Range: $24.75 - $27.00 per hour; DOE

Essential Duties:
Program Administration & Operations:
  • Support day-to-day administrative, fiscal, and operational functions of RHPP and ASP program activities.
  • Assist in administering and evaluating program effectiveness, including tracking outcomes and supporting continuous improvement efforts.
  • Coordinate with internal and external stakeholders, including faculty, healthcare partners, community agencies, and program sponsors.  
Student Services & Engagement:
  • Provide support across student-facing services including engagement, program participation, and experiential learning coordination.  
  • Assist with student program logistics, including admissions-related processes, enrollment tracking, and program communications.  
Data Management & Reporting: 
  • Manage and analyze large datasets related to student rotations and program outcomes using Salesforce, REDCap, Qualtrics, and Excel.
  • Develop and administer surveys; perform data entry, validation, and analysis.
  • Prepare monthly and quarterly reports for program leadership, sponsors, and stakeholders.
  • Maintain secure databases and ensure data integrity across platforms.  
Community Engagement & Program Development:
  • Develop and maintain partnerships with community agencies and healthcare systems to support curriculum and student placements.
  • Assist in aligning academic programming with community and workforce needs in rural and underserved areas. 
Event & Conference Coordination:
  •  Support planning and execution of program-sponsored events, including the RHPP Annual Conference, regional rural health conference, and interprofessional events.
  • Coordinate logistics such as scheduling, communications, materials preparation, and stakeholder engagement.
General Administrative Support:
  • Utilize Microsoft Office applications, including advanced Excel functions and mail merge, to support program operations.
  • Provide hands-on administrative, technical, and operational support contributing to regular university functions.
  • Participate in program-related travel to rural areas of Arizona as needed.
  • Other duties as assigned.

Desired Qualifications:
  • Experience in project coordination.
  • Experience planning conferences or large-scale events.
  • Bilingual proficiency in English and Spanish.  
  • Knowledge of project coordination and student services functions.
  •  Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities and large datasets with accuracy.
  • Effective written and verbal communication skills.  
  • Ability to work collaboratively with various stakeholders.
  • Proficiency in Microsoft Office Suite and data management platforms.

Working Environment:
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. 
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Regular use of standard office equipment including computers, printers, and telephones.
  • May require travel to rural and underserved communities throughout Arizona.
