Job Description | The Interdisciplinary Neuroscience Program at Syracuse University seeks an Academic Support Coordinator to manage the daily administrative operations of its undergraduate and graduate offerings. Responsibilities include: managing ILM declarations, listservs, waitlists, and student communications; coordinating cross-departmental course scheduling for both the undergraduate Integrated Learning Major (ILM) and the graduate Interdisciplinary Neuroscience Concentration (I-GNC); tracking student progress and processing applications and Travel Awards; maintaining the program website and promotional materials; supporting budget oversight and reconciliations; organizing program events for the Neuroscience research community, and communications to support student engagement and recruitment. This is a 10-month per year position.
Education and Experience | Associate’s degree or equivalent preferred plus 2-4 years relevant work experience in academic setting.
Skills and Knowledge | Experience with Microsoft Office software for word processing and spreadsheets as well as PeopleSoft software and Curriculum software, used by the University for class scheduling/academic records, and OnBase for graduate application processing and degree monitoring. Management and communication skills to work effectively with faculty, staff, and students to complete various complex tasks effecting degree programs, academic programs, and course offerings.
Responsibilities | Academic Support: Assist Integrated Learning Major (ILM) Director with coordinating cross-departmental course offerings and scheduling with partner departments; maintain course waitlists; process ILM declarations via OnBase and manage program listserv communications; process and track applications for the I-GNC, including coordinating official additions to student records; monitor student progress toward degree requirements and flag issues for faculty follow-up. Confer with central university departments as needed to clarify curricular issues, changes and updates. Maintain and organize program student-related data including academic and enrollment statistics. Maintain knowledge of and provide support to faculty, staff and students for PeopleSoft, MySlice, OnBase, Blackboard, and class scheduling/class enrollment/curriculum procedures. Department Administrator: Be present in the office to address questions from students and guests and to provide administrative support to the Neuroscience leadership to meet deadlines and keep the Program in good working order; provide planning and logistical support for program activities including the annual Neuroscience Research Day, Undergraduate Research Fair, research seminars, and undergraduate outreach events; provide administrative support for faculty search committees, including applicant tracking, interview scheduling, committee communications, and candidate logistics; serve as a liaison between faculty, Biology department office staff, and partner departments to ensure smooth handoffs of scheduling and records tasks. Program Communication: Manage the
[email protected] inbox, responding to inquiries from prospective students, parents, and current students, and routing petitions appropriately; track alumni engagement and maintain the program’s LinkedIn presence and other networking platforms; maintain and update the program website with current information, faculty profiles, and event details; produce and coordinate program promotional and recruitment materials. Budget Support: support budget tracking and credit card reconciliation processes; support solicitation and coordination of Undergraduate Summer Research Awards in partnership with SOURCE, the Honors Program, and participating academic departments; Manage the application cycle and review logistics for I-GNC Travel Awards (three cycles annually).
