Job Summary/Basic Function: | Responsible for the oversight and processing of all financial transactions related to the multiple units across campus. This includes maintaining accurate, compliant and confidential records and providing necessary account reconciliations, analysis, policy education and enforcement, as well as budget/expense forecasting as requested by assigned Fiscal Manager(s). This position requires initiative, judgment, and considerable verbal and written contact with faculty and staff across campus.
Minimum Qualifications | Bachelor’s degree in business by start date with a minimum of one year of relevant work experience in accounting or finance; OR a Bachelor’s degree by start date with 5+ years of accounting/finance work experience; OR associate’s degree by start date and 7 years of accounting/finance experience; OR 10 or more years accounting/finance experience in lieu of degree.
Ability to manage multiple tasks, remain organized, prioritize work, and apply a high level of attention to detail
Must be able to demonstrate ability to work in Microsoft Excel.

Essential Functions and percent of time: | 25%- Work closely with departments across campus to ensure all financial transactions are processed efficiently, accurately and timely. This may require handling large sums of money, numerous credit card transactions and securing confidential information. Process purchase orders and/or, direct review and approve departmental purchase orders, and cash remittance vouchers. Frequently communicate with university accounts payable & bursar office personnel as well as outside vendors.
20%-Reconcile financial transactions to Banner Finance to ensure all transactions are accurate and appropriate for each fund/org, processes correcting journal vouchers as needed. Maintain financial documents in a highly organized and orderly fashion. Reconcile payments made through our on-line MarketPlace websites. Analyze various orgs/account codes for expense trends and budget concerns as well as regular encumbrance review. Assist departments with financial reconciliation process.
20%-Policy review, education and enforcement. Ensure all University Policies are adhered to in relation to financial transactions. Guide, educate and enforce these policies to faculty, staff, and students that work in these offices. Help facilitate and train employees as well as reviews policies and procedures at monthly Budget Team meetings to ensure all faculty and staff have the training and tools necessary to perform their job while ensuring they are compliant.
15% – Oversee the university’s travel and expense management for the departments. Provide system training and support for all faculty and staff as well as training materials. Review expense reports submitted by staff for accuracy.
15% – Assist Fiscal Managers with the handling of all Personnel Action Forms and EPAF’s across the units. This includes a monthly reconciliation to ensure all positions are appropriately funded and that faculty, staff, and students are paid correctly by the university.
5%-Provide expense projections, budget forecasts, and participates in the annual budgeting process as requested by the Fiscal Manager. Provide information (supporting documents) for yearly internal and external audits.
