PRIMARY PURPOSE
Responsibilities include managing the communications functions of the center/school.  The Administrative Assistant is responsible for the organization and operation of the center/school’s communications and marketing systems while representing the company and the center/school positively to the community.  He/she must maintain confidentiality regarding center/school business and interact professionally with visitors, parents/guardians, staff and clients.  Will perform other duties as assigned.   Maintain positive relationships with parents/guardians, children and coworkers. Incorporate Bright Horizons’ mission, culture, goals, values (HEART Principles), philosophies, policies and development of an inclusive environment. Ensure safety and supervision of children at all times by meeting physical demands of the position.

MAJOR FUNCTIONS/RESPONSIBILITIES
Maintaining Records and Communications
  • Update and maintain employee files in an orderly manner in accordance with state, federal, district and Bright Horizons guidelines.
  • Coordinate and distribute all center/school correspondence.
  • Compose moderately to highly complex correspondence for supervisor, Director, or Principal signature.
  • Manage all collection and input of data.
  • Prepare required reports such as class lists, master teaching schedules, student schedules, teacher listings, student listings, etc., as assigned.
  • Prepare data monitoring reports for teachers, center/school administrators and district departments as assigned.
  • Provide all necessary reports and paper work as determined by supervisor.
  • Protect the confidentiality of records and information about children, families and employees in the location.

Administrative Support and Assistance
  • Maintain center/school calendar.
  • Type and file information as needed.
  • Provide all necessary support as needed to the administrative team.
  • Maintain Director/Principal’s calendar, schedules appointments and arranges meetings.
  • Coordinate preparations for workshops, meetings and seminars.
  • Attend staff meetings, operations meetings, create agenda and maintain minutes.
  • Assist with special projects under the supervision of the supervisor.
  • Assist in data entry for all center/school and child records as deemed necessary by the supervisor.
  • Assist with coverage of front desk in the absence of receptionist.

Public Relations
  • Greet all visitors to the center/school.  Project professional and positive image in all interactions.
  • Support and follow all Bright Horizons policies and procedures.
  • Assist with center/school marketing efforts.
  • Answer the telephone, responds to inquiries and provides information.

Interaction with Children
  • Interact frequently, affectionately, and respectfully.  Speak in a friendly, calm, soft, courteous manner within close proximity of the child.
  • Respect and observe children's interests.  Intervene when needed to maintain safety.  .
  • Communicate directly with each child at the child's level
  • Engage and communicate constructively with individual children during activities and routines.    
  • Be available and responsive to children's needs, questions, and requests.
  • Encourage and model social behavior and expectations which are developmentally appropriate.
  • Acknowledge feelings with sensitivity and demonstrate appropriate expression of emotions.
  • Practice positive discipline techniques in guiding children's behavior according to the center/school’s Discipline Policy.  
  • Be attentive, flexible and supportive of children and their families during transitions to and from classrooms.  

Parent/Guardian Interactions
  • Acknowledge parents/guardians and all visitors.  Demonstrate a friendly, courteous and professional demeanor.
  • Respond to parent/guardian comments and concerns with sensitivity, interest, and respect.  Maintain confidentiality.
  • Invite input from parents/guardians regarding their child’s education and care.
  • Assist in planning and attend center/school/classroom events and meetings.

Physical Environment, Health, Safety, and Nutrition
  • Maintain and follow all safety and health rules of the school.
  • Supervise children at all times.  
  • Complete appropriate paperwork (i.e., accidents, medication, and allergies).
  • Encourage children to utilize appropriate health, safety and nutritional practices.
  • Keep environment and equipment organized, safe, clean, attractive, and in good working order.  Encourage respect for equipment and materials.  Notify designated individual in advance when supplies are needed.
  • Arrange space in clearly defined, well organized activity areas.
  • Responsible for the up keep and organization of the school entrance/lobby.
  • Help care for all student injuries and health related problems.

Professionalism
  • Maintain confidentiality about issues concerning other staff members, children and families or Bright Horizons management and operations.  Must not involve parents/guardians in center/school concerns.
  • Support organizational mission, philosophies, values, goals and policies to parents/guardians, coworkers, and community.
  • Ensure continuity of education and care for children by reporting to work on time and maintaining consistent attendance, arranging and communicating leave requests in advance.
  • Respect and adhere to staffing schedules which may be adjusted as program needs change and may include working in another classroom.
  • Demonstrate flexibility and openness to new ideas in education practices.
  • Attend staff meetings, training sessions, and other center/school events.
  • Respond to center/school and organizational needs by attending regional training, contributing to a newsletter, or assisting with other duties.
  • Continue professional growth by attending courses, asking for feedback, and reading professional literature.
  • Receive constructive criticism with an attitude that indicates a willingness to improve.  Give feedback in a respectful manner.

Teamwork
  • Establish and maintain a relationship of cooperation and respect with coworkers.
  • Assume a fair share of work.  Look for ways to be helpful.  Demonstrate initiative.
  • Assume additional classroom and center/school responsibilities as needed:  kitchen, pets, children's files, etc.

Physical Demands
  • Follow state, federal and Bright Horizons’ guidelines including immunizations, employment physical, and required health and safety training.
  • Ensure children's safety while performing the following job functions:
  • Frequently lift, move, or hold children with a range of weight from 10 to 40 pounds. (Occasionally lift, move, or hold weight more than 40 pounds).
  • Supervise and interact daily with children outdoors for extended periods in varied weather conditions.
  • Demonstrate full range of motion to lift, reach, squat, climb, sit, and otherwise fully participate in activities.
  • Respond immediately and appropriately to multiple or unexpected situations or emergencies.
  • Maintain mental and physical alertness and an appropriate level of energy to perform essential job requirements.

Leadership
  • Collaborate with team in developing an action plan to implement classroom goals and a quality program.  
  • Ensure that daily responsibilities are complete; jobs are shared and taught to each team member over time.
  • Model exemplary behavior with children, parents/guardians and coworkers and give direction as needed to less experienced staff.  
  • Orient new team members to classroom routines, curriculum practices and parent/guardian communication.

REQUIREMENTS
  • Must be 18 years of age and have a High School Diploma or GED.  Associate’s Degree or Bachelor’s Degree preferred. Additional center/school requirements may apply.    
  • Meet federal, as well as individual state requirements (i.e., TB test, physical, OSHA) and maintain credentials for the position (i.e., ongoing training)
  • Demonstrated knowledge of developmentally appropriate curriculum practice.

SCOPE OF AUTHORITY
Must have prior approval from supervisor to:
  • take time off from scheduled work hours/days or alter schedule
  • release a child to someone other than a known parent/guardian
  • discuss behavior or developmental concerns with a parent/guardian
  • purchase supplies or spend petty cash    
  • contact a parent/guardian regarding a child's temperature or illness
  • administer medication (in compliance with state requirements)
  • seek outside support services for individual children
  • schedule a field trip
  • transition a child into another classroom

May take action, but must inform Director/Principal when you:
  • care for a child with a significant injury
  • acknowledge and listen to a parent/guardian concern
  • file an abuse and neglect complaint
  • record an unusual incident

The hourly rate for this position is between $12.87 - $17.37 hourly. The pay range listed here is what Bright Horizons in good faith anticipates offering for this job opening. Actual compensation offers within this range will depend on a variety of factors including experience, education and training, certifications, geography, and other relevant business or organizational factors.
