Position Salary Range: $24.76 - $30.96 per hour; DOE
The part-time, benefits eligible, Administrative Support Specialist, will report to the Senior Director of Strategic Partnerships and Networks at Julie Ann Wrigley Global Futures Laboratory. Through Administrative Support, this position provides an opportunity to exercise initiative and enhance leadership skills. The role requires proficiency in basic administrative work and PowerPoint creation to support the team effectively. This person assists with scheduling, travel planning, itineraries and reconciliation.
Essential Duties:
- Provide dedicated administrative support to the Senior Director of Strategic Partnerships and Networks at Julie Ann Wrigley Global Futures Laboratory, including coordination of Outlook calendars, travel arrangements, and materials for meetings and presentations; where appropriate, exercise judgement and authority in managing the Senior Director's time and priorities.
- Manages travel arrangements on behalf of the Senior Director.
- Schedules international travel
- Reconciles international travel
- Creates travel itineraries
- Prepares for and coordinates all events for the Senior Director, including: Creating and/or editing PowerPoint slides or other materials as needed.
- Arranging and managing equipment and technology
- Compiling and maintaining RSVP lists
- Sending email notifications, reminders, and calendar invitations
- Placing catering orders and organizing deliveries
- Preparing all necessary paperwork related to the meetings/events in accordance with university policies and procedures
- Processes various financial business forms.
- Maintains background materials related to meetings.
- Coordinates special assignments and projects as requested (e.g., annual filing projects, updating contact lists, etc.)
- Maintains spreadsheets and databases, and prepares routine reports as needed; independently researches and prioritizes issues.
- Coordinates general purchasing for GSI administrative offices following ASU procurement processes.
- Tracks the budget for the Senior Director.
- Performs other duties as assigned.
Desired Qualifications:
- Global Experience working with external partners, experience in gender equality and/or sustainability.
- Experience with directly supporting an administrator and managing complex schedules.
- Experience using Microsoft Office applications (i.e., Excel, PowerPoint, Word, Outlook) and Adobe Acrobat to create and/or edit PDF documents.
- Experience maintaining positive working relationships with a range of internal and external stakeholders.
- Experience working effectively in team environments subject to tight deadlines and quickly changing priorities.
- Experience handling confidential and sensitive information.
- Evidence of effective verbal, written, oral, and interpersonal communication skills.
- Demonstrated knowledge of exemplary customer service principles through actively listening, acknowledging and responding to every inquiry.
- Evidence of effective problem-solving and decision-making skills in a complex organization.
- Experience in the application of Arizona State University policies and procedures.
Working Environment:
This role is eligible for In-Person, Remote or Hybrid.
- In-Person, Remote or Hybrid work will be completed part time Monday-Friday in Hawaii Standard Time (HST) working hours.
- Remote work is an arrangement where the employee spends less than 60% of their regular workweek at a regularly assigned ASU work location. Executive vice president-level approval is required.

Working Environment:
- Climate-controlled office setting subject to extended periods of being in a stationary position.
- Constantly detects and operates a computer and other office productivity machinery, such as a calculator, copy machine and computer printer.

- Expected to be responsive to customers, engaged in work production, resourceful, flexible, and respectful of others.
