Admissions Assistant Full Description

Overview: 
The Admissions Assistant serves as a receptionist and administrative support for the Admissions Office, acting as the first point of contact for campus visits, phone calls, and emails. This role also includes a variety of clerical responsibilities to assist the daily operations of the office. The Admissions Assistant is expected to promote a positive customer service philosophy in alignment with the College’s mission and goals.

EDUCATION
  • High School Diploma or GED or equivalent. Required
  • Some formal training in customer service. Preferred
EXPERIENCE
  • Two (2) years' experience working with the public. Required
  • Experience as a receptionist, front office representative or similar role. Required
  • College experience. Preferred
  • Experience in a customer service environment. Preferred
  • Experience with phone systems. Preferred
ABILITIES AND SKILLS
  • Excellent interpersonal skills necessary to deal effectively and courteously with students, faculty, staff, and the public. Required
  • Competence in answering telephone inquiries in a professional manner. Required
  • Ability to learn and apply basic and general information about the College and student support departments to accurately answer calls, direct visitors, and solve problems. Required
  • Capable of dealing with a variety of assignments simultaneously and with frequent interruptions. Required
  • Ability to deal with potentially difficult interactions with students, parents, and visitors to the College. Required
  • Ability to work effectively as a member of a team. Required
  • Ability to use good judgment and handle stressful situations. Required
  • Effective oral and written communication skills, including the ability to compose messages using proper grammar. Required

 Responsibilities: 
Serve as a receptionist and customer service representative in the Admissions Office to greet and direct visitors and answer inquiries. Includes welcoming event attendees and managing event registrations in the CRM.
Provide primary coverage for the Admissions Office main telephone line which includes responding to caller requests and inquiries and distributing voicemail messages.
Manage the Admissions Office main email account which includes responding to and distributing incoming emails and addressing undeliverable email issues.
Maintain order and appearance of the Admissions Office lobby area to ensure its neatness, cleanliness, and overall welcoming appearance. Includes processing work orders and ordering office supplies.
Process incoming, outgoing and returned mail.
Fulfill requests for recruitment materials from internal and external stakeholders. Includes preparing deliveries and shipments of recruitment materials.
Assist the Coordinator of Admissions Events & Communications with inventory management of recruitment materials.
Assist the Coordinator of Admissions Events & Communications in the planning and preparation of on-campus events. Includes using campus-wide information systems to schedule events, make room reservations and coordinate other event logistics.
Participate in on-campus events such as but not limited to Open House and Accepted Student Day.
Download and distribute tour rosters and applicant outreach lists to academic schools.
Process purchase orders and invoices.
Process inquiry cards.
Provide administrative and calendar support to office leadership as needed.
Provide back-up to Information Desk Assistant as requested.
Provide back-up to other Admissions Assistants as requested.
