Overview: 

Admissions Coordinator
 
The Admissions Coordinator serves as the campus subject matter expert for admissions administrative processes and ensures accurate, consistent data management through staff training and support. This role also manages documentation collection and supports admissions operations from inquiry through enrollment.

Responsibilities: 
  • As requested by the Director of Admissions:
    • Send daily emails: Financial Aid calendar, HESI schedules, and appointment updates
    • Schedule all campus and virtual HESI exams and manage related communications
    • Generate and distribute timely, accurate reports
  • Enter and maintain accurate data in Conext and CNex for inquiries, interviews, enrollment agreements, and status changes
  • Confirm entry of test scores; follow up on missing data
  • Process enrollments and track student documentation from interview through start date
  • Scan, track, and verify student documents, including transcripts and POG items
  • Maintain and update enrollment spreadsheets
  • Cover front desk duties and switchboard relief as needed
  • Support events: referral events, open houses, orientations, and start days
  • Maintain admissions collateral and communication tools (e.g., presentations, handouts, electronic equipment)
  • Order and manage student uniforms, background checks, and admissions materials
  • Open/close start dates in BroadLeaf and create email templates as needed
  • Train staff on admissions processes and data entry to ensure consistency
  • Stay up to date and inform team on policy, catalog, and tuition changes
  • Assist with COS forms and notify reps when student summaries are complete
  • Collect and process waitlist program documents (e.g., DH)
  • Submit and track transcripts for transfer credit review
  • Process foreign POG translations and evaluations
  • Prepare and send acceptance, alternate, and denial letters
  • Systems & Technology
  • Maintain TourTab devices and monitor usage logs
  • Manage orientation check-in and student tracking in CNex
  • Support other campuses in the absence of their Admissions Coordinators
  • Assist the DOA, other department managers, and Regional Director of Admissions as needed
  • Other duties as assigned
 
Qualifications:
Education & Experience
  • HS Diploma or GED (required)
  • Bachelor's Degree and Business Administration or related field (preferred)
  • Advanced knowledge of database management and data entry (required)
  • Advanced Microsoft Suite skills (required)
  • Minimum of one (1) year of experience in CAMPUS VUE, Broadleaf and CRM (preferred)

Work Environment
  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.
