Job SummaryBig Sandy Community and Technical College is seeking an Admissions Counselor I to be responsible for managing the admissions process for prospective students, guiding them through application submission, and ensuring a seamless transition into the college. This individual will work closely with prospective students, parents, high school counselors, and faculty to promote the college’s programs, mission, and values, while ensuring that all admissions practices align with institutional goals and accreditation standards.
Job Duties:Review and assess student applications for completeness, accuracy, and eligibility, including academic records, transcripts, test scores, and other required documents.Evaluate and verify applicant credentials to ensure they meet the college’s admission standards and criteria, including residency status, high school diploma or equivalent, and any special program prerequisites.Review applications for specific programs (e.g., nursing, arts, business) that may require additional documentation, such as portfolios, letters of recommendation or entrance exams.Accurately enter applicant data into the college’s admissions database and update student records as necessary.
Ensure the integrity of data by performing routine quality checks and audits of student applications and associated documents.Process and update applicant status (e.g., admitted, waitlisted, denied) in the system and ensure applicants are notified promptly.Assist prospective students with the completion of their applications, financial aid forms, and necessary testing requirements.Monitor and track missing or incoming application materials (e.g., transcripts, test scores) and follow up with applicants and high schools to secure necessary documentation.Process application fee payments, fee waivers, or an other required student documentation in accordance with college policy.Maintain clear communication with applicants regarding missing or additional documents and ensure timely submission.Serve as the first point of contact for prospective students, parents, and other stakeholders inquiring about the admissions process.Respond promptly and professionally to inquiries vis phone, email, and in-person meetings.
Ensure that students experience a welcoming and positive interaction with the college throughout the admissions cycle.Collaborate with the Financial Aid office to ensure that all admitted students have completed the necessary financial aid paperwork and are aware of scholarship opportunities.Work with the Registrar’s Office to ensure that student data is transferred seamlessly once admitted, including course registration and program planning.Communicate with the Counseling and Advising to ensure students understand requirements.Participate in staff meetings and contribute to continuous improvement initiatives within the admissions office.Prepare and compile admissions reports for institutional analysis, providing accurate data on application trends, conversion rates, and enrollment projections.Ensure compliance with federal and state regulations, such as FERPA (Family Educational Rights and Privacy Act) and institutional policies on student privacy and recordkeeping.Ensure that all admissions processes adhere to college polices, accreditation standards, and ethical guidelines.Knowledge of community college programs, transfer processes, and the unique needs of diverse student populations.
Minimum Qualifications:Bachelor's Degree and 3 year of related experience in Higher Education, Student Affairs, Business Administration or a related field.
Preferred Qualifications:Bachelor's Degree and 1 year of related experience in Higher Education, Student Affairs, Business Administration or a related field.
