Scope of Job | Assist with managing the daily operations and functions of various federal, state, and institutional financial aid programs, specific to Medical Education.
Description of Duties | Assist with managing the daily operations and functions of various federal, state, and institutional financial aid programs for the assigned area. Assists with the packaging, cancellation, and maintenance of student financial aid in accordance with program guidelines, regulations, and policies at UTRGV. Works in coordination with the financial aid office to ensure compliance with all federal, state, and university policies and regulations related to student aid. Provides guidance and support with daily operations of Financial Aid programs. Collaborates with stakeholders to develop and update costs of attendance for each level of students each academic year. Assists the Financial Aid Director with federal and state program management as required and as related to assigned student population. Collaborates with university and administrators to seek new and/or additional funding sources from federal, state, institutional and private organizations. Coordinates with all applicable stakeholders within Strategic Enrollment and Student Affairs, as well as designated representatives from the Office of Institutional Advancement to monitor, track, and strategize distribution of scholarships and grants. Participates with various departments in maintaining a working knowledge of various student related processing processes and of student systems to determine where areas of improvement need to be made and to effectively develop and implement new procedures. Collaborates with internal and external departments and organizations to fulfill financial aid and enrollment management objectives. Ensures compliance with Financial Aid requirements, including debt management counseling for medical students. Serves as liaison with campus departments and off-campus agencies and represents the Office of Financial Aid at meetings, seminars, university functions and/or conferences as assigned. Compiles and analyses required reports for the assigned programs as they relate to Financial Aid activities. Serves as point of contact for customer service and executes professional judgment for medical students in special circumstances. Reconciles assigned financial aid program accounts with the financial aid accounting office. Performs other duties as assigned.
Supervision Received | Reports directly to the Director of Financial Aid with dotted line reporting to the Sr. Assistant Dean for Admissions and Enrollment Management at the School of Medicine.
Supervision Given | Direct supervision of assigned staff.
Required Education | Bachelor’s Degree from an accredited University.
Preferred Education | Master’s degree in Business or a related field from an accredited University.
Licenses/Certifications | None.
Required Experience | Three (3) years of progressive professional work experience in Student Financial Services or a closely related field.
Preferred Experience | Supervisory experience preferred. Experience with professional-level programs, including medical students, strongly preferred.
Equipment | Proficiency required in the use of personal computers, computer systems, attached devices, and standard office equipment.
Working Conditions | Needs to be able to successfully perform all required duties. Office Environment; may be required to work evenings and/or weekends. Occasional travel will be required. Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
Other | Must have strong organizational and analytical skills and excellent attention to detail as well as excellent oral and written communication skills with individuals and in a group setting. Possess superior interpersonal skills; strong customer service orientation and ability to impart those skills to members of the staff. Requires ability to multi-task and solve complex problems and work effectively with diverse constituencies, both internal and external and flexibility to handle a variety of duties and projects throughout the year.
