About the Opportunity
As GPER’s Associate Director of Division Management and Operations, you will serve as a strategic partner to the Director of Special Projects and play a pivotal role in driving the operational excellence and cohesion of the division. You bring a proactive mindset, a bias for action, and a collaborative spirit. Your organizational acumen and attention to detail will help ensure that the division’s strategic priorities are executed seamlessly. You will work closely with GPER’s three Vice Presidents and Senior Vice President to ensure they are fully prepared and supported across meetings, travel, and key initiatives— maximizing their impact and effectiveness. You will be instrumental in fostering a positive, high performing team culture by planning and executing team-wide and cross-divisional meetings, events, and engagement opportunities. Your ability to anticipate needs, streamline logistics, and resolve issues before they arise will be critical to the division’s success.
In this role, you will also lead essential budget and administrative processes, including generating and distributing monthly financial reports, managing contracts, and processing invoices with precision and discretion. Your strong communication skills and ability to build trusted relationships with senior leaders and external partners will be key to your success.
In this role, you will:
• Divisional Administrative Support (45%)
- Own and expertly manage complex, rapidly evolving calendars for one senior vice president and three vice presidents, anticipating conflicts and proactively resolving scheduling changes. You will provide daily briefings with action items, pre‑reads, and context to ensure leaders are fully prepared.
- Coordinate seamless travel logistics for the three vice presidents and senior vice president, including conference attendance and external engagements, ensuring every detail is accounted for
- Process and track expenses with accuracy and efficiency, navigating internal systems and the division’s budgetary guidelines
- Act as a discreet and professional liaison to internal and external executives, cultivating relationships that advance GPER’s strategic goals and reflect the division’s high standards
- Foster strong cross-functional relationships by collaborating closely with the Executive Assistant cohort to ensure seamless enterprise-wide operations.
- Draft and distribute internal communications, in partnership with the Director of Special Projects, you will also lead the development and distribution of internal communications—such as monthly newsletters and meeting recaps—that keep the division aligned, informed, and engaged.
- Support daily divisional priorities by developing agendas, tracking follow-ups, and helping to implement new structures and systems for the GPER Leadership Team in partnership with the Director of Special Projects
- Maintain confidentiality and exercise sound judgement in handling sensitive information, while responding to internal inquiries and escalating issues when appropriate
Divisional Operations (15%)
- Organize logistics for GPER’s events and meetings, including regular division all-hands, leadership team retreats, and in-person strategy sessions. You will manage end-to-end logistics – from booking venues and hotel accommodations to coordinating catering, supplies and vendor partnerships.
- Serve as the day-of logistics lead, liaising with A/V technicians, venue staff, and external partners to ensure events run smoothly and meet the needs of all stakeholders
- Develop and maintain an AI-powered playbook for cross-divisional event planning, capturing best practices and streamlining future logistics support
- Support knowledge management efforts by maintaining up-to-date internal resources and serving as a reliable source of truth for team updates, timelines and key milestones
- Build team culture and morale by designing and executing engaging in-person and virtual activities in collaboration with the Director of Special Projects
- Organize cross-divisional and external meetings, ensuring participants are wellprepared with agendas, materials and context in advance
Divisional Budget Processes (40%)
- Monitor the division’s budget, coordinating across multiple teams and divisions (State and District Partnerships), sending out monthly financial reports to GPER’s policy, SWRP, and government relations teams and proactively identifying issues to ensure a clean, accurate budget
- Own the full procurement lifecycle – including purchase orders, contracts and invoice processing – working closely with Finance and Legal to ensure vendors are paid on time.
- Serve as the central point of contact for all finance-related processes within the division, including contract approvals, sponsorship renewals and payment reviews.
- Train and support team members on finance workflows, championing resource stewardship and ensuring compliance with internal policies
- Maintain a portfolio of external vendors and partners, collaborating with GPER leaders and cross-divisional teams to ensure best-in-class service through the payment cycle
- Implement regular financial review systems in partnership with Finance, ensuring transparency, accountability, and timely resolution of outstanding items.
- Master internal tools (i.e. Salesforce) to manage the sponsorship process and track contract lifecycles efficiently
- Order office supplies and ensure that GPER’s ~30 team members who live across the United States have what they need to be successful.
About You
- 2-3 years of experience providing high-level administrative and logistical support, ideally in a fast-paced, executive-facing environment
- Mature and discrete professional who displays sound judgment with confidential information
- Successful at prioritization and follow through, with excellent attention to detail in everything from planning travel to organizing meetings
- Well-organized, proactive problem-solver, able to navigate complex administrative processes to achieve results
- Experience planning events with multiple stakeholders, sessions, and moving pieces
- Strong written communicator who can go from crafting the perfect email to proofreading a policy memo
- Basic budget management experience – ability to process contracts, develop monthly reports, and communicate with teams about their budget needs
- Nice to have: Love for education, and experience with policy and/or government relations
- Willingness to travel approximately 4-6 times a year
- Light lifting, packing, and moving may be needed when running events.

- The hiring range for this role is $56,000 – $95,000.
