Business Support Manager - FHC Full Description

Overview: 
POSITION SUMMARY:
Under the direction of the director or designee, the Business Support Manager is responsible for planning and managing the administrative and business affairs of a medium sized department whose functions include; education, research, and service. 

Responsibilities: 
ESSENTIAL FUNCTIONS:
  • Oversee payroll processes; serve as the designated department timekeeper (KRONOS).
  • Support management of the department’s annual budget and partner with leadership to report variances and recommend corrective action. Provide financial forecasts as needed.
  • Act as a primary liaison between the department and Payroll, Human Resources, Finance, Information Technology and Information Security departments, and represent the department at administrative meetings across the organization.
  • Provide leadership support for special projects. Assist in preparing data, reports, and follow-up on projects and reports.
  • Participate in new business and grant proposals involving a variety of funding sources and agencies, including procurement responses.
  • Manage internal requests from executive leadership and coordinate related departmental responses.
  • Provide calendar management for departmental leadership, including coordination of travel and conference attendance.
  • Oversee internal financial processes, including expense reimbursement, credit card payments and reallocations, and subscription/membership management.
  • Analyze and evaluate existing administrative systems, identifying opportunities for systems improvements and increased efficiencies. Implement and coordinate improvements including program wide support staff coverage, scheduling and work distribution and payroll backup.
  • Oversee and provide human resource support in the areas of staffing, recruitment, counseling, compensation, and benefits. Insure all personal action activity related to hiring, firing, performance measurement, contracting, and funding are completed.
  • Supervise and evaluate performance of support and other assigned staff. Provide support to staff in the development of business initiatives. Identify and implement professional development opportunities for assigned staff.
  • Train, develop, and provide technical consultation related to existing business process and process improvement.
  • Train and provide ongoing education to ensure awareness of, compliance with, and uniform implementation of program, university, state, and funding agency regulations, business process policies, procedures and systems. Review and assure all departmental policies are current.
  • Maintain adequate office supplies, space & equipment. Oversee the purchasing of supplies and capital equipment.
  • May serve as liaison with external organizations and other internal departments.

Qualifications:
REQUIRED QUALIFICATIONS:
  • Bachelor's Level Degree or equivalent in Business Administration or related field
  • 3-5 years related experience
  • prior supervisory experience required.
