The Academic Engagement & International Programs Coordinator plays a key role in supporting high-impact initiatives such as Honors, Study Abroad, International Programs, Undergraduate Research, and Competitive Fellowships. This position provides essential coordination, communication, and project management to advance meaningful academic experiences for students.As a central partner to the Associate Vice Chancellor for Academic Engagement and International Programs, you will help manage daily operations, support major events, maintain critical program data, and collaborate with faculty, staff, and students across campus. This is an exciting opportunity for a detail-oriented, student-centered professional to contribute to an innovative and supportive academic environment at USCB.

Job Related Minimum Required Education and Experience  | Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Job Duties 
Job Duty  | Manage and coordinate office duties as well as Special Projects as assigned by Associate Vice Chancellor for Academic Engagement and International Programs (AVCAE-IP), under Academic Affairs. Research and correlate information and data for the various office projects, activities, reports which includes but not limited to Honors, Study Abroad, International Programs, Undergraduate Research, Competitive Fellowships and Awards for faculty, staff and students, and other tasks assigned to the office of the AVCAE-IP. Serve or assist the AVCAE-IP on USCB International Programs Committee, Honors Steering Committee, Student Scholarship & Fellowship Committee, and others assigned to the office as well as assist with office reports to the Institutional Effectiveness Annual Reporting Committee. Coordinate with AVCAE-IP for implementation of USCB Honors, Study Abroad policy, guidelines, and annual review. Assist with each semester events such as Honors Medallion Ceremony, Academic Awards, Graduation by ensuring that all Honors students have completed specific Honors requirements including assisting with the actual planning for these events and ensuring that all documents are correct.

Develop and maintain a database of previous campus Honors, International, Undergraduate Research, and Competitive opportunities activities pertaining to the AVCAE-IP for future planning. Maintain records of student completed forms for tracking. Manage and coordinate every semester change to membership of the Honors program based on completion of requirements – this requires minute reviews of transcripts and records multiple times during the academic year. Submit multiple workorders for ITSS and Maintenance as related to the many AVCAE-IP activities throughout the year. Order and oversee delivery and distribution of materials for Honors students and international programs.

Coordinate and handle details for the International Meet & Greet that takes place several times each semester. Manage the International Education Week daily activities to include all USCB students, staff and faculty. A bigger week celebration during the fall semester and a simplified version during the spring semester. Oversee all communications and documentation for all USCB students doing study abroad during the academic year (semester or year abroad) or during the summer Review all websites and published materials coming from the AVCAE-IP Office which includes maintaining, backup, editing, and updating the database for Honors & International students and providing access to users. Coordinates USCB Honors contracts submission process each semester (approx. 100 during fall semester), insuring faculty mentors and students are notified. Reviews each Honors contract submission for compliance with Honors requirements. Maintain access for online Honors forms submissions as well as all Study Abroad submissions.

Assist AVCAE-IP in regular committee meetings with Honors Steering Committee, International Programs Committee and the Faculty Student Scholarship and Fellowship Committee to discuss ongoing projects such as USCB Standout Students or the regular sessions and workshops for these students. Assist with the planning of the regular Honors trips to Pritchard’s Island. Help AVCAE-IP coordinate the Honors trip to Emory University Graduate School in Atlanta and the CDC lectures for Honor students. Help AVCAE-IP plan, manage and implement the annual Asian Studies Conference that takes place in October. This includes the invitations for keynote speakers and all travel details, planning for the conference meals, all IT and maintenance requests, coordinating with faculty presenters, etc.. Assist the AVCAE-IP with office purchases and the use of the office program card reporting submissions in PeopleSoft. Coordinate all FEAFs for the various AVCAE-IP office activities for students throughout the year. Assist the AVCAE-IP with the work responsibilities for the various student FWS at the office. Maintain schedules and manage the various tasks for the FWS students. Collect, review, manage all AVCAE-IP purchase receipts and process reimbursement forms and expense reports. Review materials before they are submitted to the Provost or the Chancellor.
