Overview:

The Coordinator to the Dean provides critical high-level administrative support for the Dean of Students and manages the operations of Student Affairs.

Responsibilities:

Broad Responsibilities:

 

The Coordinator provides confidential high-level support managing the calendar, correspondence, and email for the Deans; independently solves issues that do not require the Dean’s direct involvement. Demonstrates a commitment to the University’s values of intellectual pursuit and service to humanity.  

 

Specific Responsibilities:

  1. Assists the Dean by coordinating office operations, participating in the budget processes, accounting processes, preparing major reports and special presentations, and handling a variety of confidential documents and communications on a day-to-day basis.
  2. Responds to student inquiries for information and/or assistance.
  3. Makes independent decisions on the daily activities and priorities for the office.
  4. Works collaboratively with others to provide high-level, responsive student services at a dynamic university.
  5. Works with a variety of constituents including students, faculty, administrators, governmental agencies, professional organizations, and potential donors to Touro University Nevada.
  6. Provides administrative support for the management and supervision of all phases of special events and projects assigned to the Dean.
  7. Works closely with departmental colleagues in Student Affairs to maintain effective communications and interpersonal relations.
  8. Maintains a complex calendar of appointments, conferences, and travel, coordinating all details.
  9. Prepares financial documents, invoices, contracts, tracks and assists with managing student affairs budgets; completes Touro credit card reconciliation; provides reports to the Dean.
  10. Prepares appointment briefing and background materials for the Dean and ensures the materials are provided in a timely manner to the Dean for review.
  11. Makes informed and necessary decisions for the coordination of meetings, retreats and events that involve the Dean, students, faculty, external community guests, associates, and constituents.
  12. Handles trouble-shooting assignments for the Dean and performs necessary background work and research to respond to concerns of students, alumni, faculty, donors, parents, and other internal/external constituencies.
  13. Apprises Dean of time sensitive issues/materials as they occur and/or are received. Reviews all incoming email and postal mail, routes and responds as appropriate. Prioritizes and briefs Dean regarding information/action items.
  14. Manages incoming calls and provides general information, takes messages and/or makes appropriate referrals.
  15. Assists in the production of meetings and events, including but not limited to room reservations, catering services, audio-visual requirements, and set-ups. Provides staff support at events and meetings; troubleshoots problems that may arise onsite.
  16. Composes letters, memos, emails, and reports.
  17. Monitors area budgets and accounts.
  18. Tracks and calendars time-off requests for the Division of Student Affairs Staff.
  19. Shows an active commitment to welcoming all and creating an approachable environment.
  20. Maintains divisional files including leave, performance evaluations, budget documents and others required.
  21. Assists the dean in addressing and resolving problems concerning individual students.
  22. Provides support to the Director of Student Involvement as needed for major institutional events such as, but not limited to New Student Orientations, White Coat Ceremonies, Day of Service and Commencement Ceremonies.
  23. Other duties will be assigned as necessary.

Qualifications:

Education:    

  • Bachelor's degree from an accredited college or university or 3 years minimum of relevant experience required.

Experience:  

  • Experience working in an administrative support role. 
  • Well-developed, demonstrable, professional skills in the areas of high-level administrative support and office

Skills & Abilities:

  • Advanced skills in Microsoft Office Suite and ability and motivation to learn new technology to improve student affairs and office processes.
  • Ability to prepare professional presentations, documents, and spreadsheets using Microsoft office suite and other software as appropriate.
  • Demonstrated progressive experience providing administrative support to executive level administrators and highly developed skills working in a fast-paced environment.
  • General understanding of higher education and a university setting.
  • Ability to participate and work in a team oriented executive office in an effective and efficient manner.
  • Ability to communicate effectively, efficiently, and appropriately, both verbally and in writing, to internal and external constituents.
  • Ability to establish priorities in an executive setting and to anticipate needs of the Dean of students.
  • Excellent writing, editing, spelling and organizational skills.
  • Excellent interpersonal skills and ability to work effectively with a wide variety of people from all levels of internal and external organizations.
