Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position. 
Bachelor’s degree Experience with event planning, coordination, and execution, including a demonstrated understanding of catered event details. One (1) or more years post-graduate, full-time experience in Higher Education, Student Affairs, or professional training and development. Proven experience developing and presenting educational or leadership content with a focus on clarity, engagement, and inspiration. Proficiency in using software and technology for program management, data analysis, communication, and basic graphic design (e.g. Microsoft 365, Canva, presentation software). Proven organizational and project management skills, with the ability to manage multiple initiatives simultaneously. Excellent proofreading and editing skills. Ability to write clear, concise, and grammatically correct correspondence and reports. Ability to prioritize workload, work as a team member, and be flexible when scheduling and planning to accommodate frequent interruptions. Ability to interact courteously and professionally with University faculty, staff, students, and all members of the community by written correspondence and in person.

Preferred Qualifications
Experience with student engagement platforms, CRM systems, and other technology used to enhance communication and student organization management. Experience developing and implementing training and leadership programs for student organizations. Previous work and/or student experience at Texas State University. Experience building partnerships and collaborating across departments in a university setting. Knowledge of Texas State University’s policies and procedures.

Job Description 
This coordinator role within the Office of Presidential Events and Projects is integral to the planning, coordination, and execution of events hosted by the University President, with a strong focus on student-centered events. This position also serves as the advisor to the Gold Star Society, Texas State’s presidential ambassador organization, fostering leadership development and mentoring student leaders. Responsibilities include Gold Star Society member engagement, training, and scheduling in support of presidential events and collaborating closely with student workers and graduate assistants. This position reports to the Executive Director of Presidential Events and Projects to provide high-level support for presidential projects, major university events, and other duties as assigned in support of the Office of the President.

Job Duties 
Provide high-level support for presidential projects, major university events, and other duties as assigned in support of the Office of the President, including the following:

Gold Star Society Advisor Lead mentorship and leadership development initiatives for approximately 55 student members Oversee member communication, engagement, and attendance Plan and facilitate bi-weekly meetings Train, schedule, and manage student event volunteers 
Presidential Events Lead planning, coordination, and execution of all Presidential Events for student groups, including outdoor, evening, and weekend events Collaborate on large-scale events and schedule Gold Star Society students as volunteers Supervise Gold Star Society students in assisting with guest hospitality in the President’s Suite during home football games Develop event themes and volunteer plans Propose menus, decorations, linens, floral/table décor, and entertainment Coordinate with vendors for services including catering, décor, and furnishings Collaborate on emergency plan development Oversee calendar, guest lists, invitations, and seating arrangements Manage communications with volunteers, guests, and staff Supervise student workers and graduate assistants in creating event materials Manage all aspects of food and beverage service for student events, ranging from coordinating with caterers to handling setup, service, and cleanup Oversee setup of linens, décor, and food/beverage service Handle parking, transportation, and post-event cleanup Develop ideas, provide feedback, and collect data to enhance future events Other independent or collaborative duties as needed to ensure events exceed guest expectations

Administrative Office Tasks Demonstrate professional written and verbal communication using discretion and tact Manage individual, team, and Gold Star Society email accounts Organize document management systems while maintaining records retention requirements Support office inventory management and organization Participate in training and collaborate with team to enhance skills and processes
Finance and Purchasing Responsibilities Manage event budgets and maintain detailed cost sheets Budget and track Gold Star Society expenditures Make purchasing recommendations for events, Gold Star Society, and office improvements Coordinate with the Executive Director and Administrative Assistant to review, submit, and track invoices
