Position Summary  | The Coordinator, Veteran & Military Education Benefits serves as the primary point of contact for veterans, military service members, and their families seeking to use their military education benefits. Responsibilities include, but are not limited to, assisting students with navigating the Department of Veteran Affairs (VA) and/or Department of Defense (DoD) benefits processes, serving as the University’s primary School Certifying Official (SCO), certifying enrollment for students using their education benefits, and ensuring the University remains compliant with everchanging federal and state regulations. The Coordinator also serves as the University’s liaison for the Baltimore Student Exchange Program (BSEP) and manages the approval and exchange of ROTC registrations and grading. This position works as a member of the team to support the overall operations of the Registrar’s Office and supports initiatives as assigned.

Education/Experience  | Bachelor’s degree is required plus two years of related work experience in records and registration and familiarity with VA regulations or an equivalent combination of education and experience. Other related higher education experience is preferred.

Essential Functions  | Serve as the University’s primary SCO for students using their VA benefits. Submit enrollment certifications to VA utilizing VA-ONCE/Enrollment Manager. Monitor student enrollment and report changes in accordance with federal and state guidelines. Research, analyze, and comprehend VA and DoD regulations about education benefits; maintain a working knowledge of the SCO handbook. Serve as the Registrar’s Office point of contact for military education benefit coordination with Student Accounts, Financial Aid, Admissions, and academic units to resolve enrollment, billing, and eligibility issues impacting military-connected students. Complete all required VA SCO annual training requirements and remain current on changes to military education benefit regulations and guidance. Prepare for and participate in compliance surveys and audits conducted by the State Approving Agency (SAA). Submit statistical reports and documents for the annual catalog review. Maintain accurate and comprehensive records for students using military education benefits. Generate, review, and analyze military-related enrollment, certification, and compliance reports using Entrinsik Informer and Ellucian Colleague to support VA, DoD, and institutional reporting requirements Provide specialized customer service to members of the various branches of military service, veterans, and their eligible dependents; relates relevant and accurate information in-person, electronically, and by telephone for all inquiries; help constituents navigate the VA and University education benefits process. Provide targeted registration and enrollment support to military-connected students to ensure accurate course registration aligned with VA and DoD benefit eligibility requirements. Work with students using DoD Tuition Assistance (TA); manage the academic facets of the online portal, which include maintaining a current list of programs and inputting grades. Coordinate with Student Accounts on topics of entitlement, tuition certification, and timely application of VA and TA benefits to students’ accounts. Work in conjunction with the Financial Aid Office and Admissions to assist potential students who want to use their education benefits at the University. Advise campus leadership on issues about regulations governing military benefits and organizational suggestions to enhance services for military-connected students. Work with the Web Services Team to maintain and update military education benefits content on the University website and internal portals to ensure accuracy, compliance, and clarity for current and prospective military-connected students. Coordinate academic and enrollment processes for Stevenson University students participating in ROTC coursework through the Baltimore Student Exchange Program (BSEP), including cross-institutional registration verification and records maintenance. Develop and utilize a working knowledge of FERPA standards, accreditation standards (Middle States Commission on Higher Education), as well as University policies, practices, and procedures relevant to the Registrar’s Office. Maintain strict confidentiality regarding all aspects of the position. Attend and participate in all Faculty/Staff University and Registrar’s Office meetings and relevant other meetings as requested. Assist other staff members as needed to support the overall operations of the Registrar’s Office.
