Course and Curriculum Coordinator Full Description

Overview: 
The Preclerkship phase curriculum and course coordinator supports the design, delivery, and continuous improvement of the preclerkship medical curriculum. This role is responsible for organizing, maintaining, and disseminating curricular related materials to ensure a high-quality, cohesive, educational experience for medical students. The coordinator serves as a key liaison among course directors, faculty, administration, staff, and students. 

Responsibilities: 
  • Curriculum Coordination and Implementation
    • Coordinate day-to-day operations of PreClerkship courses (and remediation).
    • Collaborate with students, other curriculum coordinator(s), members of Office of Medical Education, etc. to ensure smooth functioning of PreClerkship Phase in the MD Program.
    • Support PreClerkship Phase course directors in session planning, execution, and follow-up.
    • Maintain accurate and up-to-date academic calendar schedules (draft and finalized), session materials, student attendance, and other course information across different platforms.
    • Assist with light editing of text (grammar, spelling, format) and educational material using multimedia and educational technology tools (lecture capture, Panopto, etc.)
    • Provide purposeful redundancy to ensure continuity of operations, shared knowledge of key processes, and uninterrupted support for the PreClerkship curriculum.
    • Serves as back-up testing center exam proctor as needed
  • Communication and Stakeholder Support
    • Serve as a primary point of contact for faculty, students, and administrative offices related to execution of the PreClerkship curriculum.
    • Communicate schedules, updates, and course-related information in a clear and timely manner. Responds to inquiries from faculty, students, and administrators regarding course and other relevant PreClerkship Phase information.
    • Support MEDCI meetings, including proposing agenda items and performing follow-up actions.
  • Learning Management System
    • Build, organize, and accurately maintain course sites in learning management system for all PreClerkship courses.
    • Upload course materials including lecture slides, recordings, assessments, and supplemental resources.
    • Ensure consistent structure, formatting, and navigation across courses to enhance the learner experience.
    • Manage gradebook and assignment setup (release conditions, due dates, etc.).
    • Assist in troubleshooting Canvas-related issues for faculty and students; provide training and guidance as needed.
    • Collaborate with instructional design and various stakeholders to optimize Canvas functionality, ensure accessibility, and integrate new tools.
  • Academic Space and Scheduling Coordination
    • Serve as the primary central coordinator for managing internal/external scheduling requests (Special Events, GME, SOPH, etc.) related to booking academic venues (lecture halls, small group rooms, other instructional areas) across the EVMS campus.
    • Coordinate room assignments to align with curricular needs, session formats, and class size requirements.
    • Maintain and monitor a centralized scheduling and meeting room manager system to minimize and/or prevent conflicts and ensure optimal academic space utilization.
    • Collaborate with facilities, IT, simulation center staff, and other departments to ensure academic venues are ready for academic use.
    • Communicate room assignments, changes, and logistical details to faculty, staff, and students in a timely manner.
    • Troubleshoot scheduling conflicts and last-minute room or resource issues.
    • Support long-range planning for academic space needs across the PreClerkship phase.
    • Develop and implement standardized processes for submitting, approving, and tracking academic space requests.
  • Performs other duties as assigned to support the preclerkship phase
 
Qualifications: 
Minimum Qualifications and Skills
  • Ability to develop and maintain effective relationships with students, stakeholders of the MD curriculum, colleagues, partners whose responsibilities intersect with the execution of the curriculum, while working cooperatively and effectively with others to achieve common goals.
  • Ability to manage time and resources to ensure assignments are completed accurately and deadlines are met. Meets attendance/punctuality requirements
  • Experience in an educational setting
  • Experience with Windows operating system, MS Office Suite, and a learning management system

Preferred Qualifications
  • Working knowledge of medical education and or educational curriculum
  • Associates degree
  • Three (3) years of experience in higher education setting
  • Experience with supporting medical education or health professions training preferred
  • Experience with Canvas is preferred
