Data Management Specialist Full Description

Job Description
The Data Management Specialist is responsible for responding to requests from various departments, including Advancement, Admissions, Student Affairs, and College representatives. This involves extracting data from the Advancement database to produce accurate and timely lists, rosters, labels, and export data files while providing courteous service. The specialist also generates email lists for Engagement, Communications and Marketing, Student Affairs, and College or Program representatives to support marketing and engagement emails sent through Advancement’s and the University’s email systems. Extracting data from a CRM involves using various methods to retrieve and export customer information. No SQL or coding required - this role focuses on using Blackbaud CRM’s visual Query Tool to pull and analyze data. 

The Data Management Specialist assists in monitoring the database helpdesk to address issues related to database functionality. This includes facilitating database security compliance and training by effectively communicating with new hires throughout their initial training process in a timely and professional manner. This position serves as a backup to the Data Integrity Manager, gaining proficiency in daily processes such as batch review and exception correction before final processing. Additionally, this position also performs monthly data imports using department-provided files and custom import tools, such as Data Loader, and aids in validating incoming constituent information during major Advancement initiatives like Giving Day and the duplicates project. 

As needed, the Data Management Specialist collaborates with the Advancement Technical Team to develop, test, and enhance functionality within the Advancement database and its associated reporting tools. 
Required Qualifications
Previous administrative or programmatic support experience in a professional environment. 

Demonstrated experience working with large relational databases. 

Demonstrated experience with computer functions such as data entry, word processing, spreadsheets, electronic mail and internet navigation using the Microsoft Office suite of tools and comfort learning new software tools. 

Demonstrated ability to work with a high degree of speed and accuracy, with strong attention to detail. 

Ability to work with a wide range of constituencies (internal and external); strong organizational and interpersonal skills. 

Advanced proficiency in Microsoft Excel, including complex formulas (PivotTables, VLOOKUP, pivot tables, macro creation, data validation), and the ability to support end users with advanced reporting tasks. An Excel technical assessment will be included in the interview process.
Preferred Qualifications
Bachelor’s degree in a related field or equivalent level of training and or experience.

Demonstrated experience providing technical support in a help desk environment, including troubleshooting software, access, and network issues. 

Demonstrated experience extracting and manipulating data from a CRM.
