Job Description:
The School of Manufacturing Systems and Networks, within the Ira A. Fulton Schools of Engineering, is seeking a highly motivated, dynamic individual to join our team as a Department HR Specialist, Sr. Under the supervision of the Business Operations Manager, Sr., the successful candidate will perform professional human resource payroll functions, managing and performing work of considerable responsibility, in a department that supports a diverse group of faculty, staff and students in a complex academic unit that supports significant research and instructional emphasis. We are looking for a human resource professional who knows how to anticipate service excellence, is a self-starter who naturally takes initiative and serves in a collaborative environment, has genuine communication skills using tact, discretion, and judgment, and understands the importance of being reliable, extremely organized, and detail oriented. This position works both independently, with general direction, and as a part of a team delivering an extensive scope of support and assistance within the school.

Salary Range: $55,000 - $64,000 per year; DOE
Essential Duties:
- Processes a heavy volume of payroll transactions and activities for new and existing employees which includes creating offer letters, profile management, terminations, and entering tuition waivers and scholarships.
- Manages the academic and non-academic hires, renewals, and terminations.
- Responsible for graduate and student worker hires and renewals.
- Identifies overpayments/underpayments for appropriate action; processes and approves payroll corrections
- Address inquiries from staff and students regarding HR processes, payroll, benefits, and HR policies, providing accurate and timely resolutions.
- Serves as the Workday Operational Timekeeper, ensuring timely and accurate biweekly time entry by sending reminders, reviewing submissions, and resolving discrepancies prior to final processing.
- Processes payroll transactions for employees and will oversee payroll functions, ensuring accuracy in payroll information, funding changes, and bi-weekly reviews while investigating discrepancies to ensure timely and correct employee payments.
- Recommends or participates in the development of new procedures or review existing internal procedures, then assist in implementing.
- May assist with the hiring of faculty associates and instructional positions each semester.
- Monitors orientation of new employees and coordinates benefits.
- Assists in managing human resource processes, procedures, internal controls, and payroll quality for MSN.
- May assist with personnel searches including applicant evaluation and hiring.
- Coordinates and processes visa applications for employees and non-employees.
- Assists in overseeing, managing, and participating in internal and external audit requests; prepares audit documents.
- Resolves and investigates payroll discrepancies using reporting tools (Analytics, Workday) and works as a liaison between SMSN, FSE, ASU Human Resources and Financial Services to reach a solution and process needed transactions when applicable.
- Recommends or participates in the development of new procedures or review existing procedures related to payroll operation, then assist in implementing development of documentation.
- Other duties as assigned by the managing supervisor.
Desired Qualifications:
- Experience in high work volume environment managing multiple tasks and priorities; payroll; record keeping; ensuring adherence with policies, practices, and regulations.
- Experience providing HR support in a higher education environment
- Experience in processing and managing H-1B, 0-1, E3, and J1 visas
- Experience using HCM Workday system and CS PeopleSoft
- Experience in conducting recruitment and personnel searches
- Demonstrated knowledge of electronic data processing as it applies to human resources/fiscal automated applications.
- Knowledge of CoPilot/ChatGPT or other AI based Generative tools for office workflow process productivity
- Experience in planning and establishing priorities
- Experience in developing and maintaining cooperative working relationships both within and across organizational areas.
- Experience and ability working effectively and collaboratively with faculty, staff, and students.
- Experience using Microsoft Office applications (i.e., Access, Excel, PowerPoint, Word, and Outlook).
- Knowledge of all applicable federal, state and regulatory requirements, laws and standards.
- Knowledge of human resource practices, regulations and standards.
- Ability to lead by example in communicating, participating and encouraging support of the institution's sustainability programs.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Visual acuity and manual dexterity associated with daily use of desktop computer. Stand for varying lengths of time and walk moderate distances to perform work. Bending, stooping, reaching, and lifting up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally in English, read, write, see, and hear to perform essential duties. Ability to work both independently and within a complex structured team. Works from general instruction on standard job duties and specific directions/instructions on new assignments. Exercises judgement within defined procedures and practices to determine appropriate action.
