Job Description
The Digital Communications Coordinator provides procedural structure and support for digital email communications to alumni, donors, parents and friends of the University. The position supports the systems and platforms responsible for the distribution of over 1,500 email communications annually and the coordination of online alumni communities and digital event registrations. The coordinator creates, schedules and coordinates email sends to over 600,000 alumni, parents, donors and friends while avoiding recipient overlap. She/ He confirms communications are checked for adherence and compliance with PCI, CAN-SPAM and WCAG (web accessibility) regulations. This position also serves as support and backup for digital event registrations, including registration page builds, updates, reporting and troubleshooting. Time outside of normal business hours is often required for priority projects and event registration coverage.

Education and Experience
  • Associate degree or equivalent experience required.
  • Some experience working with digital tools, including email marketing and event management systems preferred.
  • Encoura Encompass or similar experience a plus.
  • Experience working in environments that require adherence to regulations/procedures.
  • Experience working with and creating Excel spreadsheets.
  • Experience with editing or proofreading preferred.
  • Demonstrated organizational skills.
  • Strong customer service skills both in-person and remote using various forms of technology.
  • Event support may require after-hours, night/weekend work.
Skills and Knowledge
  • High attention to detail, excellent organizational skills and demonstrated communication skills, both verbal and written.
  • Ability to communicate corrections, determine desired intent and provide guidance to email originators is crucial.
  • Ability to provide timely responses to clients is critical, even after hours, so that events can happen as planned.
  • Ability to evaluate, set priorities and execute on the fly.
  • Ability to analyze, research and carefully merge constituent data.
  • Ability to quickly maneuver in a fast-paced environment is essential.
  • Ability to handle embargoed information and maintain confidentiality.
  • Ability to multitask, including coordinating multiple projects in addition to other daily duties is necessary.
Responsibilities
  • Create, schedule and coordinate distribution of email to over 600,000 Syracuse University alumni, parents and friends.
  • Responsible for reviewing all submitted content for errors, and University appeal and gift compliance.
  • Review content for WCAG (Web accessibility), CAN-SPAM and PCI compliance.
  • Generate daily reports and communicate with senders of email about sent data including open rate, click-through, unsubscribes, etc.
  • Serve as backup support for digital event registration processes including registration page builds, updates, troubleshooting, on-demand reporting and tracking gifts made via registration.
  • Assist with producing and distributing reports and analytics for events as needed.
  • Provide user support to campus partners for Encompass (Cuse Community) environment, email/CAN-SPAM compliance, WCAG (Web accessibility compliance), PCI compliance and gift and appeal compliance.
  • Provide training to campus partners on Digital Experience Team processes and procedures.
  • Assist the Assistant Director of Digital Communications with generating daily email statistics reports. This requires communicating to partners about email engagement data including open rate, click-through, unsubscribes and other metrics.
  • Send daily reports to division on recent email sends.
  • Other duties as assigned.
