Job Description

WhyMaker is seeking an Education Project Manager to own the day-to-day management and successful delivery of multiple concurrent client projects. You will guide projects from kickoff through final delivery, keep timelines and deliverables on track in Monday.com, and serve as the primary point of contact for clients on projects. You will coordinate internal team members, contractors, and clients to ensure projects stay on schedule, within scope, and aligned with WhyMaker's quality standards.

This role requires someone who is organized, proactive, and comfortable managing multiple moving parts at once, while communicating clearly with both clients and internal teams. 

KEY RESPONSIBILITIES  

Project Delivery

  • Manage active client projects from kickoff through final delivery
  • Develop, maintain, and update Monday.com boards with project timelines, milestones, and deliverables, keeping accurate and visible records
  • Coordinate workshop logistics and project schedules across internal team members, contractors, and clients
  • Ensure projects remain on schedule and within scope
  • Monitor project progress daily and proactively identify risks, delays, or bottlenecks
  • Follow up with team members to ensure assigned tasks are completed on time
  • Facilitate project kickoff meetings and recurring project status meetings 

Client Management

  • Serve as the primary point of contact for day-to-day client communications 
  • Provide clients with regular project status updates and manage expectations throughout the project lifecycle
  • Coordinate client reviews, collect feedback, and manage revision cycles
  • Ensure client requests are documented, evaluated, and incorporated into project plans when approved

Team Coordination

  • Collaborate with the Director of Educational Services to determine project team, provide weekly updates, and escalate issues in a timely manner
  • Assign work to instructional designers, education coordinators, contractors, and other project resources as appropriate
  • Identify scope changes and communicate potential risks

Cross-Functional Collaboration

  • Partner with Sales, Educational Services, and Business Operations to ensure smooth handoffs from sale to delivery, accurate scoping, and a consistent client experience
  • Work with internal departments to resolve dependencies that affect project timelines or deliverables
  • Communicate project status and needs clearly to stakeholders outside the immediate project team

Quality & Process

  • Ensure all deliverables have been reviewed and passed internal quality assurance processes before submission to clients
  • Verify that all deliverables are complete, aligned with client requirements and meet the project scope
  • Support continuous improvement by identifying opportunities to streamline project workflows, templates, and processes

Day-to-day

  • Review all active projects and prioritize daily activities
  • Respond to client and internal communications within 24 business hours
  • Follow up on outstanding action items with team members
  • Update Monday.com to reflect current project status
  • Coordinate meetings and document decisions and next steps
  • Resolve routine project issues independently where possible
  • Escalate risks or decisions requiring leadership input
  • Ensure deliverables scheduled for the day are completed, reviewed, and sent to clients
  •  Maintain a proactive approach to preventing delays rather than reacting to missed deadlines

REQUIREMENTS

  • 3+ Years experience managing multiple concurrent projects with competing deadlines
  • Strong organizational skills with high attention to detail
  • Excellent written and verbal communication skills, including direct client-facing experience
  • Comfortable coordinating across internal teams, contractors, and clients
  • Experience with Monday.com (or comparable project management software) preferred
  • Ability to identify and resolve routine issues independently while knowing when to escalate
  • Education or curriculum development experience preferred
  • Bachelor's degree or equivalent relevant experience
