Job Description | The Events Specialist for the Moynihan Institute of Global Affairs is responsible for the execution of more than 200 annual events for the Moynihan Institute. This individual will work with Faculty Program Directors and staff to develop event vision, logistics, and timelines within budget guidelines. This position will broaden promotional strategies for events, develop Moynihan Institute event signatures elevating the Institute’s reputation. The Events Specialist will organize the logistics of multi-day conferences and workshops in Syracuse, DC, NYC and Minnowbrook Conference Center; at least 12 speaker series, and 100 language tables. This individual will negotiate and execute contracts for furnishings, technology, facilities support, venues, ground transportation and security. They will arrange travel and coordinate with university entities to avoid competition for audience and space. The Events Specialist will create promotional materials including but not limited to posters, brochures, programs, website updates, social media and other forms of media and communication as needed. They will oversee preparation of event materials. They will train and supervise 2-3 workstudy students and oversee event data gathering for yearend reporting.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Education and Experience | Bachelor’s in Hospitality or 5 years plus experience in Events Planning
Skills and Knowledge | Communication skills, Zoom event hosting, Intermediate Excel, MS Access, Adobe Indesign, Word Mail merge, Design skills, Editing skills.
Responsibilities | Meet with faculty Program Directors and Program Staff to develop event vision with logistics and timelines within the budget scope provided often utilizing a restricted or sponsored funding source which requires additional knowledge of spending categories. Work with university departments and staff to ensure that events aren’t competing for audience and space. Arrange appropriate security, furniture rentals, facilities support, and technology. Negotiate contracts, prepare diagrams and provide guidance to support staff. Arranging travel, maintaining data, booking space, and ground transportation, negotiating contracts for venue space, limousine rentals and shuttles. Develop promotional plans for specific events including but not limited to posters, brochures, programs, website updates, social media, and other forms of media and communication as needed. Developing menus for events, working with SU catering to execute professionally, maximizing quality of food and service within the project budget.
