The Executive Assistant supports the Senior Vice President of Sales by managing day-to-day administrative operations, enabling greater focus on strategic priorities, customer engagements, and team leadership. This role ensures seamless coordination of schedules, travel, and communications for the VP of Sales, as well as supporting operational processes across the Sales organization. Position Information: This is a regular, full-time position, reporting to the Senior Vice President, Sales.
Compensation: Base pay is anticipated to be between $56,685.00 and $65,000.00 per year. Eligible employees may also receive incentive/commission/annual bonus pay based on individual and/or company performance. Compensation may vary based on factors such as, but not limited to, individual skills, experience, training, education/certifications, geographic location, internal equity, and local market conditions.
Location: This is a US-based position located at our Tempe, AZ headquarters. To be considered, candidates must be able to work on-site in our Tempe office three days per week, and occasionally up to five.
Travel: You can expect up to approximately 10% travel to support national sales meetings.

Envision Your Experience.
In this role you’ll have the opportunity to:
- Manage calendar and scheduling for the SVP of Sales, ensuring efficient use of time and proactive resolution of conflicts.
- Coordinate internal and external meetings, including agenda creation, preparation of materials, and timely follow-ups.
- Serve as a primary point of contact for the SVP, maintaining professionalism, confidentiality, and exceptional judgment.
- Plan, book, and optimize travel itineraries, including flights, hotels, transportation, and event registration.
- Prepare, reconcile, and submit expense reports in accordance with company policy.
- Anticipate travel-related needs and ensure all logistical details are managed end-to-end.
- Manage document preparation, editing, proofreading, and distribution (e.g., presentations, sales reports, customer summaries). Candidates may be asked to provide a sample of your PowerPoint work.
- Assist with project management and coordination of budget and forecast data.
- Support onboarding logistics for new Sales team members.
- Maintain and update shared files, databases, platforms, and sales operations documents as needed.
- Assist with any vendor coordination and basic budget tracking.
- Draft and edit emails, announcements, scheduling requests, and other correspondence on behalf of the SVP.
- Consult with internal partners (Marketing, Operations, Customer Success, Product, and others) to maintain alignment and streamline workflows.
- Interact with customers, partners, and external stakeholders as directed, representing Imagine Learning with professionalism and responsiveness.
- Assist with planning and logistics for Sales meetings, offsites, team events, customer engagements, and conferences as requested.
- Manage meeting notes, action items, and follow-up tasks for the SVP and key team meetings.
- Provide administrative support on special projects and initiatives across the Sales organization.
Share Your Expertise.
Experience, education, and qualifications essential for success in this role, include:
- Bachelor’s degree in Communications, Hospitality, Business Administration, or related field; or an equivalent combination of education and experience.
- At least 3 years of experience in an administrative assistant, department coordinator or executive assistant role, ideally supporting Sales teams.
- Strong Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) skills.
- Proficiency with Smartsheet, Slack, and common scheduling platforms; ability to quickly learn and master internal systems.
- Exceptional organizational, time-management, and prioritization skills, with strong attention to detail.
- Strong written and verbal communication abilities.
- Demonstrated ability to maintain confidentiality, professionalism, and discretion.
- Capacity to work effectively under general direction on multiple tasks with demanding timelines.
- Skill in collaborating effectively with team members across varying levels of the organization.
- Capacity to function as administrative support to the Sales Team as needed.
- Previous experience in Sales and familiarity with Salesforce.
- Experience supporting senior leaders in Sales or Revenue functions.
- Background in fast-paced, high-growth, or matrixed organizations.
- Experience coordinating travel or events for executive-level leaders.
- Ability and willingness to work a flexible schedule to accommodate business needs and multiple time zones.
- Willingness and ability to work on-site at our Tempe, AZ headquarters up to three days per week, with five onsite days per week required occasionally.
