Associate Executive Assistant

Purdue University’s Department of Chemistry is seeking a highly organized and collaborative Associate Executive Assistant to support senior leadership. This role plays a key part in ensuring the smooth coordination of administrative operations while serving as a trusted partner across the department and university.
What You’ll Do
You will provide high-level administrative support to an executive leader, helping to streamline communications, manage priorities, and support key initiatives. Responsibilities include:
- Managing complex calendars, scheduling meetings, and coordinating logistics
- Preparing and editing communications, reports, and presentations
- Serving as a liaison across internal offices and external partners
- Planning events and supporting special projects involving independent research and coordination
- Improving administrative processes to enhance efficiency and communication

About Us
The Chemistry Department within the College of Science is one of the largest deapartments with 50 faculty members, 50 staff and 400 graduate students. You will be workin in a complex organization and interacting with a very large number of people. This position will oversee clerical and service staff within the department and would be the next step in your growing career.
What We're Looking For
Education and Experience Required:
- Requires a Bachelor’s degree in Communications, Business Administration, Management, or a related field
- Experience in a senior or lead administrative support role or equivalent experience
- An equivalent combination of education and experience may also be considered
Skills Required:
- Skilled in:
- collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needs
- interpreting policies and procedures to proactively resolve issues
- Excellent written, verbal and interpersonal communication skills
- Strong organizational and time management skills and attention to detail
- Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Ability to:
- handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
- identify problems, generate ideas for improvement, and implement or recommend solutions
- use discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomes
- use discretion regarding when to involve the senior leader or Executive, when to resolve issues independently, or when to engage others
