Position Summary | The Executive Assistant provides high-level, proactive administrative and strategic support to the Vice President for Enrollment Management and Marketing (VPEMM). This role requires an individual with exceptional judgment, discretion, and organizational acumen – someone who thrives in a fast-paced, high-stakes environment and brings clarity and calm to complex workflows. The ideal candidate will function as a true partner to the VPEMM, anticipating needs, managing competing priorities, and fostering seamless internal operations across the division.
Description of Key Responsibilities
Manage the VPEMM’s daily calendar and schedule, including meetings with internal stakeholders and external partners, board committees, executive staff, and divisional leaders. Prepare the VPEMM for meetings by compiling agendas, background materials, and briefing notes; attend key meetings to take and summarize notes and track follow-up items. Serve as the primary point of contact and liaison for the VPEMM, ensuring professional and timely communication with students, faculty, staff, trustees, and external constituents. Support project planning and tracking across the division, ensuring deadlines are met and details are managed. Assist in the coordination and execution of divisional events, strategic planning retreats, and leadership meetings. Maintain divisional files, organizational charts, and project documentation; oversee internal divisional communications as appropriate. Handle confidential personnel, financial, and strategic matters with the utmost professionalism and discretion. Coordinate logistics and materials for board committee meetings led by the VPEMM. Proactively identify and implement improved systems for calendar management, meeting preparation, and communication flows. Serve as a resource and occasional support to other units within the division as needed.
ADDITIONAL EXPECTATIONS
Occasional early mornings, evenings, or weekend hours may be required to support key events or board activity. May represent the VPEMM or the division in cross-functional meetings. Expected to proactively develop knowledge of College operations, priorities, and key stakeholders.
Required Knowledge, Skills and Abilities
• Deep understanding of and respect for confidentiality and discretion.
• Advanced proficiency in Microsoft Office, Google Workspace, and project management tools.
• Exceptional verbal and written communication skills.
• Ability to synthesize and summarize meetings and materials for executive review.
• High emotional intelligence and the ability to remain calm and solutions-oriented under pressure.
• Demonstrated commitment to institutional mission.
Distinguishing Characteristics
This position is far more than traditional administrative support. The Executive Assistant serves as a trusted advisor and extension of the VPEMM, attending meetings to capture key points, driving follow-through, and ensuring details do not slip through the cracks. Education/Training | Bachelor’s degree required. In lieu of a degree, a minimum of 5 years of progressively responsible executive-level administrative support may be considered.
Experience | Preferred 3 years of experience supporting a senior executive in a fast-paced, professional setting. Higher education experience is preferred but not required. Must demonstrate prior success managing complex schedules, projects, and communications with minimal oversight.
