Executive Staff Assistant Full Description

Position Summary:
This position will interact with students, faculty, staff, administrators, executives, trustees and the public in order to represent the supervising executive. The candidate will provide administrative support to the CMO, and HCI leadership, and other executive management.

Job Duties: 
  • Sort, reviews and directs Executive's mail including drafting responses and maintaining logs to track delegated matters.
  • Interprets University policy and administrative procedures in response to inquiries and initiates necessary action.
  • Creates, distributes and presents necessary materials for administrator meeting agendas.
  • Maintains administrator's calendar including scheduling meetings and making travel arrangements.
  • Attends meetings with and for the Executive in order to acquire and disseminate information.
  • Performs other duties normally associated with a Secretary III and Executive Secretary II in order to ensure the completion of necessary work.

Minimum Requirements
The job requires: knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.
