The Events Coordinator for the McCausland College of Arts and Sciences at the University of South Carolina is responsible for planning, organizing, and executing internal events that foster engagement, collaboration, and morale among faculty, students, and staff. This role plays a key part in strengthening the college community by coordinating meetings, student engagement activities, and team-building initiatives that align with the institution’s mission and goals. The Events Coordinator will oversee all aspects of event logistics, including scheduling, budgeting, marketing, and vendor management, ensuring that each event runs smoothly and effectively.
Job Related Minimum Required Education and Experience | Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Preferred Qualifications | One or more years of experience in areas such as event planning and coordination, . Ability to effectively communicate and maintain relationships with students, alumni, and faculty/staff.
Knowledge/Skills/Abilities
This position requires strong organizational skills, attention to detail, and the ability to collaborate with diverse internal groups to create meaningful and successful events that enhance the experience of the McCausland College of Arts and Sciences donors, alumni, faculty, staff, and students. Knowledge of fundraising database such as Blackbaud CRM is preferred. Working knowledge of an event management system (i.e. 25Live). Attention to detail is imperative. Must be able to multi-task and handle multiple interruptions throughout the day. Ability to establish good working relationships with alumni, students, campus partners, businesses, and general public. Demonstrated self-starter with strong initiative and customer service orientation; volunteer management skills an asset. Ability to frequently exercise high level of independent judgment. Ability to communicate effectively, both verbally and in writing. Ability to work effectively as part of a team and also take initiative when the need arises. Ability to develop and monitor budgets and expenditures for ongoing and special projects. Responsible decision-making, confidentiality, careful discretion and unquestioned accountability is essential. Ability to exercise discretion in interpreting and applying established department and University policies and procedures. Ability to use USC electronic forms including University fiscal tracking, personnel management, travel, and purchasing and some experience with PeopleSoft. Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.
Job Duties
Job Duty | Plan and manage internal events, including faculty meetings, student engagement activities, and staff morale initiatives, ensuring seamless execution and meaningful experiences. Maintain detailed event timelines and contingency plans to address any unforeseen challenges. Support all other events managed by the office of External Relations in the McCausland College of Arts and Sciences.

Handle venue selection, catering, audiovisual setup, scheduling, and budget tracking to ensure cost-effective and high-quality events. Negotiate vendor contracts to optimize resources while maintaining event excellence.

Ensure all documentation is accurate and submitted in a timely manner to avoid delays.
