Position Summary
The Chief of Staff (COS) is a critical leadership role responsible for ensuring the efficient and effective operation of the CFO's Office. Acting as a trusted confidant and strategic partner, the COS translates the CFO's vision into actionable goals, manages critical campus-wide projects, and serves as an independent advisor. This role requires extraordinary judgment, political acumen, and the ability to navigate complex administrative environments. The COS will support some initiatives for the AVP for Finance and Administration, work collaboratively with the F&A Leadership Team, and stakeholders across the campuses.

Minimum Required Education and Experience
Bachelor’s degree and a minimum of five years’ experience in executive management support required.
Preferred Education and Experience
Advanced degrees, such as an MBA, Master of Public Administration (MPA) with professional experience preferred. Prior experience in higher education supporting senior executives is highly preferred.
Knowledge, Skills, and Abilities
Familiar with software, Including Microsoft Word, Excel, PowerPoint, One Drive, and Teams. Prior experience in higher education supporting senior executives is highly preferred. This position requires strict confidentiality with sensitivity to critical and confidential Information that will be accessed while exercising the duties and responsibilities of this position. Applicants must be highly organized, detail oriented, adaptable to the CFO's frequently changing schedule, possess strong interpersonal skills, able to respond to constructive feedback and at times, be flexible with hours as the CFO's schedule requires.
Job Duties
- Administrative Responsibilities
- Provide support to the CFO and associate vice presidents
- Draft, edit, and maintain correspondence including, compiling briefing materials, emails, memos, PowerPoint presentations, etc.
- Manage calendar and time for the CFO and AVP for Finance including, meetings, appointments, speaking engagements, travel arrangements, etc.
- Interact professionally with senior staff members, their teams, and other internal university stakeholders as well as external stakeholders
- Communicate with Board of Trustee members occasionally, assist with writing and compiling fall and spring institutional and divisional priority reports, planning committee meetings, and division all-hands communication meeting.
- Accompany CFO to meetings or events when needed, to support workflow
- Office Management
- Manage office flow and welcome and assist all visitors and guests
- Triage phone calls as needed
- Maintain accurate distribution lists
- Recruit, train, and supervise student work study assistants and office program assistants
- Event Planning
- Plan and schedule in conjunction with members of the Finance and Administration leadership team the Finance and Administration annual communication meetings. retreats, speaking engagements, and conferences.
- Responsible for scheduling of weekly leadership meetings and necessary logistics, such as creation of agendas and room reservations. Work with campus colleagues to coordinate and record minutes.
- Contribute to university-wide events as needed.
- Some responsibilities after-hours on weekdays and on weekends are expected.
