Financial Aid Operations Assistant Full Description

Job Summary: 
The Financial Aid Operations Assistant facilitates a consistent and welcoming first contact experience for students, parents, faculty and staff with questions regarding financial aid. This position manages the document imaging, data entry and tracking systems support necessary to financial aid office operations. Systems and guest support ensure accurate and timely responses to financial aid and billing inquiries.

Responsibilities: 
  1. Manages the financial aid guest reception processes which includes answering incoming phone calls, voice mail, email and scheduling office visits. This also involves coordinating staffing coverage and training if necessary, for a diverse team of financial aid staff who assist with guest reception processes - 40%
  2. Monitor and review reports to maintain data integrity in financial aid processing. Collaborate with Registrar, Admissions and Business Offices to resolve data conflicts - 25%
  3. Manages data entry, tracking and scanning of incoming documentation related to financial aid applications and eligibility - 20%
  4.  Assists counseling staff in initial review of applicant application materials and data conflicts. Ensures tracking system properly reflects additional items necessary to advance student records for preparation of the aid offer - 10%
  5. Provides administrative support to Financial Aid Office staff (e.g. scheduling staff meetings, sending e-announcements, order office supplies, coordinate shredding pickups and copy machine repairs, organize breakroom.) - 5%

Required Skills: 
  • Individual must be detail oriented with strong organizational and communication skills.
  • Requires ability to enter data and numbers with accuracy.
  • Proven ability to work independently and manage time is necessary.
  • Demonstrate competencies to work in technology driven operations.
  • Working knowledge of web browsing, email and Microsoft Office Word and Excel is required.
  • Demonstrate ability to learn and use financial aid software programs.
  • Able to communicate effectively in a professional and confidential manner with students and staff.
  • Applicant should be able to speak clearly and distinctly in person and over phone.

Travel: This position requires frequent local travel and regional and national travel.

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones.

Expected Hours of Work:

Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. Frequent evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
