Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay. The Graduation Audit Specialist is within the Office of Enrollment Services at the Daniel Technology Center in Culpeper, VA. This crucial role involves preparing student records for program completion, assisting the front with related inquiries, and aiding in the planning and execution of commencement ceremonies. Key responsibilities include conducting degree audits, processing graduation applications, and managing the student graduation list for each conferral period. The specialist will work closely with the Assistant Registrar and serve as a frontline representative in Admissions and Records (A&R), guiding students as they approach the completion of their academic programs. This position requires high-quality service delivery, ensuring a seamless transition for students through the conferral process, from being candidates to becoming graduates. The Graduation Audit Specialist will be the primary contact for graduating students, focused on streamlining services and offering consistent, caring support throughout the graduation process. This role is characterized by a holistic care approach, employing a case management strategy to effectively support student graduation.
Major Duties and Responsibilities:

Special Assignments | May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications | Minimum of 2–3 years of professional experience working within a higher education setting, preferably within enrollment services, registration, or student affairs. Experience with database management, including data entry, records maintenance, and generating accurate reports from administrative databases. Minimum of 2 years of extensive customer service experience, with a demonstrated ability to navigate high-volume, time-sensitive environments. Demonstrated ability to accurately interpret institutional policies and academic regulations to evaluate, process, and apply course exceptions and student petitions to degree audits. Demonstrated ability to handle sensitive and confidential student records in strict compliance with FERPA regulations. Demonstrated ability to analyze complex student records to identify graduation deficiencies, and communicate clear, actionable procedures and deadlines to students, advisors, and campus stakeholders in a fast-paced, time-sensitive environment. Minimum of 2 years of experience assisting in the production, proofreading, and preparation of high-profile event publications, ceremony programs, and related commencement materials with a high degree of typographical and structural accuracy. Proven proficiency in interpreting complex academic transcripts from diverse higher education institutions and executing accurate transfer credit processing within a Student Information System (SIS).
Additional Considerations | Bilingual (Spanish) Experience using Student Information System (SIS), Navigate, Clearinghouse, and Parchment systems preferred. Knowledge of curriculum as it relates to degree audit and institutional policies and procedures. Experience evaluating degree audits to ensure applicants have met all degree requirements as published in the catalog.
