Position Summary | Assumes responsibility for providing quality customer service to all prospective and current students and families regarding registration, financial assistance, and payment policies. Performs all duties in full support of the University’s mission, understanding that the positive and effective execution of these duties is instrumental to the education of the University’s students.
Hiring Range | Hourly rate is $19.16 per hour
Key Responsibilities
Serves as the first point of contact for prospective and current students and their parents regarding Hartt Community Division (HCD) policies and procedures for registration, payments, and student financial assistance. Provides quality customer service, resolving issues and inquiries, referring customers to appropriate personnel, connecting the interests and needs of multiple stakeholder groups, and acting as a liaison between students and families and teachers and programming staff. Processes registrations, working with faculty and staff advisors to ensure appropriate registration assignments for new students; resolves registration issues; and assists to ensure student accounts are cleared for registration. May perform registration tasks for the University of Hartford’s Office of Continuing Education. Accepts, processes, and records cash, checks, and/or credit card payments and deposits through the Administrative Software Applications Program (ASAP) system; researches, analyzes, and prepares breakdowns of student tuition accounts in response to questions from students and/or parents; analyzes and resolves collection issues as appropriate; and processes refunds as appropriate. Advises students and parents regarding payment options as necessary and appropriate. Keeps informed of the various financial assistance programs and opportunities at HCD and educates students and their parents regarding those programs and opportunities. Keeps abreast of all federal and regulatory guidelines including FERPA and all University policies. Verifies pending financial assistance disbursements. Distributes and collects administrative forms and other related paperwork, verifying all documents received to ensure necessary information is provided and forwarding completed documents to the HCD Registrar for further action. Maintains accurate files on student accounts to ensure the integrity of the data as well as easy retrieval by department staff. Inputs all relevant information into the database, updating demographic information as needed. Brings together and manages a dynamic and responsive front of house team by creating a positive and collaborative workplace environment. Assists with orientation and initial training of new HCD student reception staff and Federal Work Study students and implements on-going training initiatives for HCD. Attends major HCD and external orientation, outreach, and placement days. Acts as a liaison to other University departments and external agencies as appropriate. Performs other related duties as assigned.
