Reporting directly to the Human Resources Manager, the Human Resources Coordinator plays a vital role in supporting the University’s faculty and staff throughout the employment lifecycle. This position is ideal for an HR professional who enjoys balancing recruitment, employee relations, payroll support, onboarding, compliance, and customer service while making a meaningful impact across campus.
What You’ll Do
As a Human Resources Coordinator, you’ll serve as a trusted resource for employees, supervisors, and applicants while helping ensure efficient, compliant, and customer-focused HR operations. Responsibilities include:
Coordinate recruitment and hiring activities using the PeopleAdmin applicant tracking system. Create job postings, prepare offer letters, and manage recruitment workflows for Temporary and Temporary Faculty (TFAC) positions. Guide hiring managers, applicants, and departments through the hiring process while ensuring established hiring timelines and deadlines are met. Respond to inquiries regarding employment opportunities, application status, and University hiring procedures. Coordinate pre-employment activities including background screenings, I-9 employment verification, onboarding documentation, and new employee processing. Assist with New Employee and Faculty Orientation programs, helping create an engaging and welcoming experience for new hires. Coordinate employee offboarding activities, including separation processing, exit meetings, and required documentation. Support payroll, Time & Labor, EPMS performance management, and other HR transactional functions. Assist the Human Resources Manager and Human Resources Director with position classification reviews and salary administration by working with the USC Office of Classification and Compensation. Assist departments with position descriptions for new positions, vacancies, reorganizations, and reclassifications. Help review salary recommendations to ensure internal equity and compliance with University policies. Serve as a backup for a variety of HR operational processes to maintain continuity of services. Provide exceptional customer service by answering HR-related questions from faculty, staff, applicants, and the public. Perform general office administration and maintain confidential personnel information with professionalism and discretion. Participate in University committees, campus initiatives, and special projects that support institutional excellence. Perform other duties as assigned.

Job Duty | Assist the HR Manager and HR Director, in consultation with the system Office of Classification and Compensation, determine correct market title of position description(s) based on qualification and leveling guide; helps ensure that equity issues are reviewed and addressed as necessary. Aids the Dir/Asst. Director in assisting hiring managers with position description descriptions as needed when vacancies, reclassification, etc., arise.

Perform other duties as assigned to include participating in University activities and serving on committees. Monitors pending and saved ePAF forms initiated by department and determines appropriate actions, effectively communicates results to employees. Serves as a time and labor/absence approver for USCB, review and approve time sheets as requested by supervisors, monitors reports that are saved and not submitted and also late approvals. Reviews and approves absences and absence cancellations. Researches and fixes exceptions in the time and leave absence system. Coordinate telecommuting and flexible schedule requests and submits for approval to the Employee Relations Office.

Percentage of Time | 20%Job Duty | Assists with new staff/ faculty orientation, onboarding process to include background screenings, and I-9s and works closely with USC’s HR Departments to resolve any problems and concerns that arise. Coordinates offboarding process to include entering separations, arranging exit meetings, and creating separation paperwork. Using the PeopleAdmin system, generates job postings and offer letters, completes I-9s, and completes other steps in the hiring and background check processes for all TEMP/TFAC hires. Follows university TFAC hiring timetables, deadlines, policies, and practices to ensure the successful completion of all TFAC hires. Works with departments and potential candidates being hired, and others as needed to compete all hires effectively and in a timely manner.
