Eastern Oregon University (EOU) invites applications for an
HR Department Administration Coordinator & Assistant to the Vice Presidents for Finance & Administration (VPFA) and Student Affairs (VPSA).
This is a unique, early-to-mid career opportunity in higher education HR administration, combining three interconnected roles:
HR Department Coordinator – Provide broad administrative support across all HR service areas (recruitment, onboarding, payroll support, benefits, compliance).
Assistant to the VPSA – Support Student Affairs leadership with office operations, budgeting, student travel, and confidential personnel and conduct matters.
Assistant to the VPFA – Provide administrative and calendaring support, including coordination of Board of Trustees Finance & Administration committee materials. Human Resources (65%) Coordinate recruitment processes, candidate evaluation, and onboarding. Serve as system administrator for the PeopleAdmin ATS; post vacancies and coordinate job ads. Process personnel actions, payroll forms, reimbursements, and other HR transactions. Support compliance with federal/state regulations, collective bargaining agreements, and EOU policies. Maintain HR web pages, data systems, and reporting functions. Research, prepare, and draft reports, correspondence, and process improvements as needed. Provide service-oriented recruitment guidance to hiring managers, employees, and committees.
Assistant to the VPSA (20%) Provide confidential support for student conduct, personnel matters, and budget oversight. Manage Student Affairs office operations, files, communications, and supplies. Support division budgeting: reconcile accounts, process invoices, prepare reports, and serve as liaison to Finance & Administration. Coordinate student travel approvals and ensure compliance with risk management requirements.
Assistant to the VPFA (15%) Provide administrative and scheduling support to the VPFA. Support Finance & Administration-related Board of Trustees committees (e.g., Finance, Student Affairs, Academic Affairs). Prepare agendas, meeting minutes, and ensure compliance with Board policies. Coordinate with other administrative staff to prepare and publish Board meeting materials.
Minimum Qualifications |
Education:BS/BA in Human Resource Management, Business, or related field.
Experience and SkillsTwo (2) or more years of HR administrative or operations experience. Recruitment, candidate evaluation, and onboarding. Working knowledge of HR laws/regulations (EEOC, FLSA, ADA, FMLA/OFLA, Oregon Equal Pay Act, etc.). Organizing, prioritizing, and completing multiple projects with accuracy. Above average writing skills for drafting policies, guides, and professional correspondence. Proficiency in Microsoft Office and HR data systems. Strong interpersonal skills, emotional maturity, and the ability to build positive relationships at all levels. Administrative organization and time management skills. Ability to manage confidential materials and support decision-makers with discretion. Desire to produce high-quality, reliable service.
Must satisfactorily complete EOU criminal and credential background check. Having a criminal history is not an automatic bar to employment. Preferred Qualifications | One (1) or more years of experience in: Experience in HR administration within higher education, especially at an Oregon public university. Advanced interviewing and candidate assessment skills. Experience administering compensation and leave programs. Familiarity with Oregon’s public employee collective bargaining environment.

Salary | $53,000 to $58,700 DOQ
