Purpose of Position:
P&HCC is seeking a self motivated professional and team player to serve as the assistant to the Human Resources Department. The Human Resources Assistant provides administrative and operational support to the Human Resources Office, with primary responsibility for onboarding and offboarding processes, document management, payroll support, and employee assistance. This position serves as the first point of contact for the department and ensures HR‑related inquiries are addressed in a timely, accurate, and professional manner. Assist with the routine operations, functions, and duties of the Human Resources Office. Serve as the primary point of contact for employees and applicants, providing accurate information and guidance or referring complex matters to appropriate HR staff. Manage sensitive and confidential situations with tact, professionalism, and diplomacy. Ensure compliance with all applicable federal and state regulations, Virginia Community College System (VCCS), Department of Human Resource Management (DHRM), and college policies and procedures. Facilitate and oversee onboarding and offboarding processes, ensuring completion of required documentation, adherence to procedures, and accurate recordkeeping in Avature. Maintain and update employee accounts in the Commonwealth of Virginia Learning Center (COVLC) and assign required new‑hire training. Provide guidance to employees on the use of statewide HR systems related to timekeeping, payroll, and online learning. Assist with payroll preparation by conducting weekly audits of timesheet approvals and following up with employees and supervisors as needed to ensure accurate payroll processing. Review and maintain position requisitions and recommendations for hire to ensure accurate documentation of hiring activity. Maintain employee files and records in Perceptive Content in accordance with recordkeeping and retention requirements. Perform periodic audits of HR records to ensure accuracy, completeness, and compliance. Research, recommend, and collaborate with the HR team to improve HR processes and enhance the employee user experience.
Special Assignments | May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications | Associate’s degree in a related field or equivalent combination of education and experience. Prior office experience, preferably in human resources or administrative support. Excellent verbal, written, and interpersonal communication skills. Strong organizational skills with a high level of attention to detail and accuracy. Ability to manage confidential and sensitive information with discretion. Proficiency with Microsoft Office Suite or related software. Ability to learn, adapt to, and effectively utilize multiple Human Resources Information Systems (HRIS). Ability to operate standard office equipment.
