Job Title: Lead Administrative Assistant, Graduate Programs and Research
City: West Lafayette
Job Description:
Job Summary
Provide essential administrative support to the Associate Dean for Graduate Programs and Associate Dean for Research for the College of Pharmacy, in line with College and University policies. You will also serve as Assistant Building Deputy, contributing to a safe and efficient environment. This position will be responsible for the following:
• Collaborates with and provides support for the Associate Dean for Graduate Programs and department chairpersons.
• Coordinates:
o along with both the Associate Dean for Graduate Programs and the Associate Dean for Research on College relationships (international, foundations and corporations) and the Summer Undergraduate Research Fellowship (SURF, SROP) program
o with the Graduate School and College Faculty and Business Office to determine funding availability and the number of fellowships available
o annual events for the graduate programs including the welcome reception for new graduate students, College of Pharmacy Research Day Graduate Student Awards Symposium, and Purdue College of Pharmacy Tyler Symposium
o provides support for the Associate Dean for Research
o faculty development opportunities within the College including multiple grant talk luncheons throughout the year, faculty leave forums, junior faculty development meetings and the annual College safety and responsible conduct in research meetings
• Responsible for coordinating the College of Pharmacy graduate fellowship, travel awards, and Graduate School recruiting fellowships awards.
• Serves as the main point of contact with the Graduate School on all matters relating to graduate education
This is a 10-month position August 1 – May 31 and will have the summer off (June – July)

What We Are Looking For:
Education and Experience
Qualified candidates will need:
- High School Degree or GED
- Four (4) years of experience in administrative support role
- Administrative support experience that involves organizational activity, graduate school knowledge, communication with faculty, students, and administrators
Skills needed:
- Excellent written, verbal, and interpersonal communication skills
- Drafting, proofreading, and editing skills
- Strong organizational and time management skills and attention to detail
- Advanced computer and related software skills to include Word Excel, PowerPoint, Outlook, Internet, etc.
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
- Collaborate and communicate with individuals at all levels within and external to the university to support department needs
- Interpret policies and procedures to proactively resolve issues or improve processes
- Identify problems and implement or recommend solutions
- Lead others and provide direction and constructive feedback
