Description
We are seeking a Learning & Development Coordinator to support the end-to-end administration and coordination of Learning & Development (L&D) programs. This role is responsible for Learning Management System (LMS) administration, including course setup, enrollments, attendance tracking, and data accuracy. The position oversees all learner communications, ensuring timely and engaging updates throughout programs. This role is also responsible for program scheduling, reporting, and operational support to deliver effective training programs.Responsibilities include but are not limited to:
LMS & Systems Management
Set up and maintain all sessions and courses on the Learning Hub (LMS), ensuring materials are current and accessibleManage learner enrollments, including group enrollments and session changes where requiredTrack attendance and completion in LMS; monitor non-completionsMaintain engagement tracker (attendance, completion, new hire/departure updates monthly)Ensure LMS is accurate, and up to dateMaintain training inquiries inbox and respond to L&D related queriesKeep the L&D annual calendar and inquiries calendar updated
Communications & Learner Support
Manage all learner communications, including:Mail merges for program launches and on-demand materialsWelcome emailsReminders, follow-ups, and rescheduling communicationsJoining instructions and session materialsOngoing program communications to maintain engagement including reminders throughout the programSend communications to promoted associates and relevant cohortsKeep communications templates and documents up to date
Scheduling & Program Coordination
Schedule global sessions, avoiding conflicts and ensuring smooth program flowCoordinate with internal teams and external suppliers to confirm session datesProactively plan sessions to ensure timelines support program successCirculate session options to teams and confirm availabilityMaintain and update the annual L&D calendar
Event & Logistics ManagementCoordinate logistics for launches and in-person sessions (e.g. venues, catering, materials, accommodation)Create and maintain logistics trackers for each programEnsure seamless preparation of all L&D events
Supplier & Stakeholder Coordination
Liaise with external suppliers on scheduling and session deliveryProvide suppliers with participant lists and session detailsSupport internal HR and regional stakeholders with training updates and information for CPD accreditation
Reporting & Data Management
Generate regular reports for HR and stakeholders (e.g. - attendance, completion, CPD hours, onboarding compliance)Track program metrics (e.g. attendance, feedback, no-shows)
Finance & Budget AdministrationTrack all L&D expenses against budget (global)Maintain and update budget spreadsheetsProcess invoices: receive, seek approval, and allocate to regions
Feedback & Continuous ImprovementCreate feedback surveys and distribute post-training
Compliance & DocumentationMaintain and organize iManage workspace (archive outdated content)Ensure compliance tracking and escalation processes are followed (monthly process)
Team Coordination & Internal CommunicationKeep L&D team informed via updates (e.g. - team meetings, weekly summaries)Share program updates, risks, and scheduling changesSupport internal alignment across regions
RequirementsAn associate's degree is required. Experience with Learning and Development processes in a law firm environment is preferred, along with demonstrated experience administering a learning platform. Proficiency in Microsoft Office required.The salary range for this role is $55,000 - $80,000 depending on skills and experience.
