Position Summary
Under general supervision, this role coordinates logistics for e-learning experiences, virtual, and hybrid learning sessions; maintains accurate records in the learning management system (LMS); and assists in the coordination and delivery of enterprise-wide learning experiences. The position collaborates with facilitators to prepare materials, track completion of required courses (both live and e-learns) and respond to learner inquiries. The L&D Consultant I develops foundational skills in facilitation, content preparation, and program coordination. This entry role emphasizes organization, database administration, data accuracy, clarity, and customer-focused support for learners and managers.

Essential duties and responsibilities may include, but are not limited to, the following:

  • Coordinate training logistics (rooms, technology setup, rosters) for in-person, virtual, and hybrid learning sessions, including scheduling sessions, reserving rooms, coordinating technology setup, preparing agendas and sign-in sheets, and supporting new or piloted training formats.
  • Maintain accurate LMS records of enrollments, completions, curricula, rosters, waitlists, reminders, and eLearning assignments; publish offerings in the LMS, troubleshoot basic access issues, and run standard compliance reports.
  • Generate standard and ad-hoc LMS reports and provide timely, accurate completion-status information in response to District and leadership inquiries, ensuring professional and customer-focused support.
  • Ensure high standards of LMS data integrity through consistent data entry, auditing, data correction, adherence to naming conventions and metadata standards, and routine audits to identify and resolve duplicate learner records, enrollment inaccuracies, and other data inconsistencies.
  • Interpret Power BI training reports to validate LMS data accuracy, identify mismatches or anomalies, correct issues within scope, and escalate data or system concerns as appropriate.
  • Communicate promptly and professionally with learners, facilitators, vendors, managers, speakers, and key stakeholders; foster open communication and coordinate logistics for onboarding sessions and learning events.
  • Assist in preparing, designing, adapting, and updating instructional materials using established templates and basic adult learning principles; assemble participant packets, slide decks, facilitator guides, job aids, and quick reference materials in alignment with Grant PUD branding guidelines.
  • Support facilitators and instructors by assembling materials, providing live session support (chat moderation, attendance tracking, timekeeping, Q&A), and ensuring learning experiences run smoothly across delivery modalities.
    • Pilot, upload, test, assign, and verify eLearning content in the LMS, ensuring correct audience targeting, due dates, and functionality.
  • Monitor completion of required and mandatory training, track overdue items, send reminders, follow up with managers, and escalate chronic non-compliance under guidance from L&D leadership.
  • Demonstrate strong attention to detail, accuracy, effective time management, and a continuous-improvement mindset by identifying opportunities to streamline scheduling, communications, materials, and processes and sharing recommendations with the L&D team. 
  • Collect, analyze, and evaluate learner feedback, identify themes, and propose modifications to training programs and delivery approaches to improve effectiveness and learner experience.
  • Provide basic process guidance and training best-practice support to managers, route escalated questions to L&D leadership or senior staff as appropriate.
  • Support content lifecycle management by identifying outdated or redundant training, coordinating content reviews with subject matter experts, assisting with archiving, and maintaining a clean, current LMS catalog.
  • Maintain training supplies inventory, place orders, and prepare materials in advance to support training delivery.
  • Document learning and development procedures, maintain checklists, templates, and standardized processes to ensure consistent, compliant training delivery.
  • Provide basic LMS data pulls to support audits, leadership requests, and regulatory or compliance requirements.
  • Support HR and workforce programs intersecting with learning, including onboarding, internship, succession and apprenticeship-related learning activities.
  • Handle confidential training records appropriately.

Required Qualifications (Education, Experience, Licenses & Certifications):

  • Associates degree or 1 additional year of relevant experience in lieu of degree.
  • 1 – 2 years supporting training, onboarding, or instructional projects.
  • Experience working in a learning management system (LMS).

Preferred Qualifications (Education, Experience, Licenses & Certifications):

  • Experience in a utility or public sector environment.
  • Experience in administering skills-based education or adult training programs.

Other Knowledge, Skills & Abilities
  • General knowledge of utility operations.
  • Excellent interpersonal, communication, and organizational skills and coordination skills; ability to manage calendars and multiple sessions.
  • Basic troubleshooting skills for LMS access issues, virtual meeting platforms, and e-learning playback problems.
  • Organizational attention to detail and record accuracy.
  • Basic knowledge of adult learning principles and facilitation support.
  • Database administration.
  • Ability to work collaboratively with cross-functional teams.
  • Proficiency in Microsoft Office Suite and other relevant software.
