Job Summary  |
Under supervision of the Assistant Director for Campus Experience, the Senior Events and Campus Visits Manager is responsible for various events and services provided by the Office of Admissions to identify, recruit, and enroll new students to the University of Utah. This position works in a team setting to assist in the development, implementation, and assessment of a variety of different activities including in-person events on- and off-campus, virtual events, various types of campus tours, and other events as they arise. The Senior Events and Campus Visits Manager will also assist with the management of the University Ambassadors, who provide campus tours and support Office of Admissions events.

This job description is not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities and qualifications required of employees assigned to the job.Plan and coordinate all aspects for both in-person and virtual recruitment and yield events for prospective students and their guests including but not limited to goal setting, vendor collaboration, travel and venue coordination, event registration, event marketing and communication, staffing, ensuring excellent customer service, training, determining safety protocols, event equipment and supplies, and event data analysis. Planning, coordination, and staffing of virtual events and information sessions Assist in maintaining a system of detailed event management information (event plans and schedules, budgets, contracts, post event analyses, timelines, etc.) to maintain quality and consistency of work and monitor the status of events, projects, and assignments. Manages all aspects of the Student Ambassadors including but not limited to: day to day operations, employee work schedules, prioritizing daily work activities, managing assessment and evaluation for the Ambassadors, and recommending changes. Coordination of student employees at recruitment events – transfer, access, UHEDs, UCAWs, virtual sessions, college fairs, etc. Provides Human Resources support by hiring student employees, overseeing and implementing training procedures, supervising student staff, evaluating performance and initiating disciplinary action. Provide integration of University Ambassadors into appropriate Admission Counselor trainings Assist with daily, group, and VIP campus tour services, which includes but is not limited to setting up web-based guest registration process, solving various tour-related problems that arise, exhibit excellent customer service, training, staffing, and survey creation/utilization/analysis. Represent the Office of Admissions at meetings and events. Build and maintain professional working relationships with campus partners, vendors, and other stakeholders. Work collaboratively with other units, as appropriate, to support student services, enrollment, and retention at the university. In collaboration with marketing and communications team, contribute to and ensure the timely production of all printed and electronic campus visit and event marketing, communications and collateral including brochures, web pages, emails, and text messages to increase the office’s visibility and increase campus visit and event attendance. Position will be expected to develop event budgets congruent with the Office of Admissions recruitment strategies/goals. Be able to justify expenditures with appropriate documentation, as well as research, identify, and propose cost savings measures. Monitors purchases to ensure compliance or all University fiscal policies, oversees billing accuracy and coordinates timely processing of all invoices. Provide, support, and serve as back up for other areas within the Campus Experience team as need arises. Some evening and weekend work required. Moderate physical activity required. Other duties as assigned.

Minimum Qualifications  | Bachelor’s degree in a related field plus two years of related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated human relations and effective communication skills also required.

At least two years of experience in higher education admissions (or equivalent), including managing a recruitment territory and overseeing special projects. In-depth knowledge of current trends in admissions, recruitment, scholarships, and financial aid. Outstanding communication skills, both written and verbal, with the ability to effectively engage large and diverse audiences. Exceptional customer service and interpersonal skills, with particular sensitivity to the needs and expectations of prospective students. Proven ability to analyze data and make informed decisions regarding special projects and strategic areas of focus. Strong organizational and coordination skills, with the capacity to manage competing deadlines and prioritize tasks effectively. Demonstrated human relations and communication skills, essential for team collaboration and stakeholder engagement. Experienced in mentoring entry-level admissions counselors and supporting efforts to achieve enrollment goals. Skilled in communicating complex information effectively to large, diverse audiences. Strong problem-solving abilities with a proven capacity to navigate and resolve challenging situations. Ability to work both independently and collaboratively within a team environment. Proficient in using CRM systems and other recruitment-related tools and platforms, with demonstrated ease in system navigation and data management.
