Job Summary
Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to student service functions of assigned department’s internal and external customer service, human resource and financial management operations pertaining to areas including (but not limited to) residence hall, library programs, student union, activities, Greek life and club programs, academic advising, textbooks, and international programs. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.
Responsibilities
Supervision
1. Directly hire, train, supervise and evaluate three full-time Front Desk Coordinators. Indirectly supervise a team of 8 Student Managers and 70+ Desk and Mailroom Assistants
2. Apply appropriate theories and models, based on specific student characteristics and needs, in communication/advising/supervising situations and program development.
3. Develop achievable, measurable learning outcomes for all training and educational experiences.
4. Develop training environments and activities that best promote student learning, engagement, and knowledge retention. Identify and utilize technologies to present training materials in a way that resonates with current student culture.
5. Develop effective advising relationships with students and staff. Adapt advising techniques and styles to meet the needs of an individual or group based on both learning needs and identity development
6. Ensure a smooth transition of services and staffing during academic year breaks, with emphasis on serving Conference Services guests during the summer.

Service Delivery
1. Implement operational policies and procedures for all residential front desks and mailrooms. Ensure high quality service delivery, federal standards, and innovative practices are successfully implemented.
2. Facilitate and assess internal and external customer program development and implementation in a way that improves the student experience, and facility use.
3. Routinely gather and utilize student and community input to inform desk service and practices.
4. Develop and maintain collaborative relationships with faculty, staff, and administration who utilize our services.

Strategic Planning
1. Researches and identifies best practices regarding customer service, staffing, and mail, with potential for implementation within the department. In addition, shapes department strategic planning efforts.

Budget and Fiscal Operations
1. Manage and oversee the ethical use of desk and staffing budgets with indirect supervision over 3 large scale budgets.

Opening and Closing Support
1. Provide support for all departmental opening and closing activities for Fall, Spring, and Summer terms with HDP staff.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience).
Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred.

  • A minimum of 3+ years of related and progressively more responsible or expansive work experience in Housing, Student Leadership, or Staff Training and Development.
  • Demonstrated skills in recruiting and hiring of staff, including sourcing candidates, implementing interview best practices, and creating equitable hiring rubrics.
  • Demonstrated skills in supervision of staff, including onboarding, providing ongoing performance feedback, delegation and building a collaborative team environment.
  • Demonstrated skills in training of staff, including developing learning outcomes, creating engaging content that uses applicable technology as needed, and comfortable with public speaking.

  • Experience developing student employee competencies and development frameworks.
  • Experience creating and supporting an inclusive workplace.
  • Ability to work independently and work well on a team.
  • Demonstrated ability to work collaboratively with internal and external stakeholders, including across functional and positional lines.
