Marketing Project Manager Full Description

Marketing Project Manager

Location: Remote, USA

Labster is seeking a proactive and detail-oriented Marketing Project Manager to join our dynamic marketing team. This person will play a critical role in ensuring cross-functional marketing initiatives are delivered on time, within scope, and aligned across stakeholders. You’ll be the go-to person for managing timelines, streamlining collaboration, overseeing the use of our project management software, and bringing clarity and organization to everything from campaign launches to event and webinar logistics. The ideal candidate combines a strong foundation in project management with hands-on experience in marketing program management and expert communication skills.

This person will report to the Creative Director and collaborate daily with marketing teammates across demand generation, product marketing, communications, design, and content, as well as with cross-functional partners across the business.

Responsibilities

Project & Program Management:
  • Intake and scope new projects; define project plans, timelines, stakeholders, and task assignments
  • Facilitate project kickoff calls, intake meetings, milestone tracking, stakeholder check-ins, and post-mortems
  • Ensure all relevant briefs, documentation, and resources are captured and complete 
  • Keep a pulse on progress, delays, and blockers across creative, content, demand gen, product marketing, and comms

Centralized Tool Ownership
  • Own and optimize the team’s project management platform (Wrike)
  • Create and maintain project management workflows, templates, dashboards, tags, and reporting systems
  • Train and support team members to ensure consistent and efficient usage

Cross-Team Coordination
  • Act as the central point of contact between internal teams and, when relevant, external vendors or contractors
  • Maintain a master marketing calendar across campaigns, launches, and events
  • Build alignment across stakeholders and ensure timely delivery of assets and dependencies

Events & Webinars
  • Coordinate logistics and timelines for webinars and live events, pre- and post-event
  • Build scalable templates, outlines, and checklists for recurring programs
  • Oversee live event management and logistics, including sponsorship coordination, booth preparation, shipments, hospitality logistics/planning, and staff coordination

Quality & Accountability
  • Help the team uphold timelines, brand standards, and creative delivery excellence
  • Track and ensure all deliverables meet stakeholder expectations

Competencies & Skills
  • 3+ years of experience in project management, working within a marketing team or agency environment
  • 1–2 years of experience coordinating or managing events (professional or non-traditional, such as university or community-led)
  • Hands-on experience with project management tools (Wrike preferred, or similar like Asana, ClickUp, Monday.com)
  • Exceptional attention to detail and a bias toward action
  • Self-starter who’s comfortable taking the reins and independently driving progress in group settings, meetings, and daily tasks
  • Outstanding organizational, communication, and collaboration skills
  • A love of structure and process, with the flexibility to adapt in a fast-paced environment
  • Results-oriented mindset with strong business acumen
  • Prior experience or training in marketing programs and/or operations is preferred
