The Role
We're seeking a versatile Operations & Content Coordinator to support our growing business. You'll handle customer success, content editing, and conference representation, with the flexibility of remote work and occasional travel.

Responsibilities:
Customer Operations (40%)
  • Manage group licensing inquiries and institutional rate requests via email
  • Schedule and coordinate sales calls with large institutional prospects
  • Set up customer accounts and manage access using our custom account management system
  • Send invoices, follow up on payments, and track receivables
  • Process vendor paperwork and manage vendor relationships
  • Provide first-line technical support (basic LMS troubleshooting, login issues)
  • Maintain customer communication pipeline and respond to support tickets

Content Editing & Social Media (40%)
  • Edit and publish video blog posts on coreultrasound.com
  • Cross-post blog content to social media platforms (LinkedIn, Twitter, Instagram)
  • Edit educational videos for course production and curriculum content
  • Edit marketing materials and graphics to showcase curriculum features
  • Develop content highlighting institutional success stories

Event Support (20%)
  • Staff exhibition booth at 3-4 medical education conferences annually (all expenses covered)
  • Conduct product demos and engage prospective customers
  • Coordinate pre/post-conference logistics and lead follow-up

Required Qualifications
  • 2+ years experience in customer support, operations, or marketing coordination
  • Proficiency with video editing software (Screenflow experience preferred, also: Adobe Premiere, Final Cut Pro, CapCut, or similar)
  • Experience with social media management and content scheduling
  • Comfortable learning new platforms (Thinkific, LMS interfaces)
  • Self-directed with strong written/verbal communication skills
  • Reliable internet and professional home office setup

Preferred (Not Required)
  • Background in healthcare, medical education, or EdTech
  • Familiarity with Canva or Adobe Creative Suite
  • Experience with B2B SaaS or subscription business models
  • Customer service in technical or healthcare settings

What we're NOT looking for: Deep ultrasound knowledge, software development skills, or rigid 9-5 availability

About the Team
Core Ultrasound is co-owned by Dr. Jailyn Avila and Dr. Ben Smith.

Dr. Jailyn Avila, MD is Core Faculty and Associate Ultrasound Director at UHS SoCal MEC Emergency Medicine Residency in Temecula, California. She completed her ultrasound fellowship at University of Kentucky and is a nationally recognized educator, earning ACEP's 2019 Rookie Speaker of the Year Award and the 2025 ACEP National Emergency Medicine Faculty Teaching Award. 

Dr. Ben Smith, MD, FACEP is Professor and Interim Chair of Emergency Medicine at the University of Tennessee in Chattanooga, where he directs the Emergency Ultrasound Fellowship. He is an award-winning international ultrasound educator and active developer of several ultrasound education platforms. His work has earned multiple national awards, including ACEP's Innovation in Clinical Ultrasound (2017), the Society for Clinical Ultrasound Fellowships iAward for Innovations and Impact (2020), and ACEP's Outstanding Speaker of the Year (2020-2021).

Together, Jailyn and Ben launched Core Ultrasound in 2019, combining their ultrasound education platforms into a comprehensive resource now serving 250+ institutions.
