Job Summary
Develops, oversees, and continuously enhances residency and fellowship programs by designing and refining curricula, managing program resources, and ensuring alignment with ACGME and institutional standards. Leads program administration by negotiating agreements, securing program funding, and resolving complex operational challenges. Provides strategic direction for resident management, and partners with departmental leadership and faculty to develop high‑quality educational, clinical, and scholarly initiatives that advance overall program excellence.
Responsibilities
  • Manages day-to-day operations of the education program under minimal supervision and oversees scheduling, task assignments, and progress monitoring. Assists in developing and implementing program activities, events, and initiatives.
  • Administers meetings for program committees, ensuring smooth organization and logistics.
  • Oversees trainee onboarding and offboarding procedures. Ensures compliance with leave requirements and supervises quarterly tracking of RQI compliance. Provides guidance and support to coordinator staff. Supports GME and hospitals in credentialing activities.
  • Oversees program purchases and budget management, monitoring expenditures and preparing regular reports for review in coordination with the Department/Division.
  • Assists Program Director in screening and inviting candidates for interview. Leads coordination efforts alongside the Program Director to ensure alignment with program objectives.
  • Oversees ERAS, Thalamus, FREIDA, or equivalent applications and oversees NRMP registration, ranking, and results processes. Coordinates interview logistics for candidates and supervises the organization of candidate applications.
  • Supports in understanding of ACGME requirements at various levels and assists in coordinating annual ACGME updates.
  • Oversees trainee work hour monitoring and manages evaluation distribution and filing procedures. Validates and maintains training forms. Tracks trainee procedures and board eligibility status.
  • Manages the updating of specialty board websites, GME Track, and MedHub, overseeing the process to ensure compliance and efficiency.



Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Operations Program Manager, I: Requires a bachelor’s (or equivalency) + 2 years of directly related work experience or a master’s (or equivalency) degree.
Operations Program Manager, II: Requires a bachelor’s (or equivalency) + 4 years or a master’s (or equivalency) + 2 years of directly related work experience.
Operations Program Manager, III: Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.



Preferences
Should understand and advise the Program Director on ACGME specialty program requirements, strong organizational and adept problem-solving skills, project management experience, ability to mentor junior staff, and comprehensive grasp of program operations. Applicants should demonstrate potential to fulfill essential job functions as outlined in the position description.
