Position Summary:
The Part time Instructional Program Coordinator works with Executive Director, department faculty, and other college staff, coordinate programming, marketing, and display materials, space scheduling, public postings, data collection and essential facilities set-up relevant to the academic operations of the Division.

Essential Job Duties and Responsibilities: Assist Executive Director with the effective development and coordination of operational activities which include strategic program planning, outreach, marketing and logistics. Coordinate speaker needs and communications as needed nearing events. Track calendaring and outreach systems to ensure items have been entered by library and learning commons leads into shared the Learning Resources Center (LRC) calendar. Coordinate distribution of information into KALPA, the College Events calendar, The Watercooler; and stakeholders such as Marketing, The Voice, and Faculty etc. Ensure that information is kept current, and properly communicated across the LRC Division. Collaborate with colleagues and Marketing to coordinate marketing materials and promotional activities in keeping with College standards. Create templates for programs, social media, and fliers related to division outreach needs and in keeping with college standards. Assist with training of staff on how to use templates for immediate printing needs. Coordinate online presence of LRC through the use of appropriate social media tools. Coordinate purchasing for needed outreach activity materials, promotional purchases, and event supports. Coordinate LRC developed cross-departmental and cross-divisional activities and projects promoting a collaborative learning experience for students. Coordinate and communicate promotional activities and events in conjunction with faculty and staff program leaders. Coordinate data gathering and participation tracking of events and programs. Participate in regularly scheduled team meetings. Use professional experience and organizational skills to handle multiple and varied task independently. Regular attendance on campus is required for this position. Other duties as assigned.

Related Duties: Conduct research on emerging trends and technologies, best practices, and peer-institution comparisons to aid in the effectiveness, responsiveness, and overall success of the division. Provide coordination of special projects and initiatives developed by the division to meet the operational and strategic goals. Serve as the lead coordinator for marketing initiatives for departments within the division (in concert with the Department of Marketing) including coordinating the marketing plan while maintaining the brand and image of the college. Coordinate the college purchasing and requisition process for all marketing materials needed to support the programs within the various departments in the division.

Hours/Schedule: This position will work part time for ten (10) months per year – August through May. The schedule will generally be Monday –Thursday 10:00 a.m. – 3:00 p.m. with some variation. Depending on programs, occasional adjustments may be made on the day-to-day schedule with prior notice.

Minimum Qualifications:  | Minimum Required Knowledge, Skills and Abilities:
• Bachelors’ Degree in a related area OR equivalent combination of education and experience.
• Demonstrated ability to manage multiple projects, tasks, and assignments.
• Demonstrated graphics and writing capabilities essential for marketing, development of social media presence, and outgoing communication.
• Familiarity with budgets and the budgetary process.
• Strong experience with the Microsoft Office Suite (Word, Excel, and PowerPoint).
• Ability to work positively with people from diverse backgrounds.
• Demonstrated ability to handle multi-faceted tasks and collaborate with a wide variety of project stakeholders.
• Demonstrated ability to work positively with colleagues and collaborators to meet the goals of the job.
• Demonstrated strong organizational skills including multitasking and flexibility to adjust to rapidly changing needs.
• Demonstrated strong communication skills.
• Demonstrated ability to produce and properly distribute basic graphically designed materials and online messaging.
