Program Assistant Full Description

Overview: 
The Department of Near Eastern Studies is seeking a highly organized and responsible Program Assistant with key responsibilities that contribute directly to the successful day-to-day operations of the Department of Near Eastern Studies (NES), the NES Program (NESP), and the Princeton Geniza Lab (PGL). This position reports to the NES Program and Lab Manager, with a dotted reporting line to the Department Manager of Finance and Administration, and works closely with faculty, staff, researchers, and students.
 
This is a permanent, 11-month, position with benefits.
 
Responsibilities: 
  • Provide support for NES, NESP and, PGL programs and events, working with faculty, staff, researchers and, students.
  • Event planning and coordinating including communicating with speakers, creating, and distributing flyers, updating the website, sending email advertisements, onboarding visitors, processing payments, booking travel, and placing catering orders.
  • Work with University travel agents for flights, hotel, and transportation bookings.
  • Onboard vendors and process payments for invoices, reimbursements, and honoraria.
  • Seek co-sponsorships for events as needed.
  • Assist with email marketing, updating the website, social media, and other publicity.
  • Provide on-site event assistance, working a few evenings as needed.
  • Maintain email listservs, updating them as/when needed.
  • Make purchases and submit concur expense reports.
  • Assist with other NES events as needed.
  • Collaborate with the Business Manager on financial tasks, as needed.
  • Other duties as assigned by the Program and Lab Manager and/or the Department Manager.

Qualifications: 
Essential 
  • High school diploma or GED.
  • 1+ years of experience.
  • 2 years minimum related experience
  • Proficiency with Microsoft Office Suite and Google Workspace is required.
  • The position requires excellent organizational, communication, and interpersonal skills.
  • Proactive, with the ability to plan and execute projects, with tact and independent judgement.
  • Ability to manage and prioritize multiple, ongoing projects while maintaining the highest level of professionalism and customer service.
  • Work effectively across units to ensure a standard of excellence in all conferences and events.
  • Must be able to troubleshoot, problem-solve, and collaborate while ensuring compliance with university policies.
  • Strong written and oral communication skills.
  • Diplomacy and discretion are essential.

Preferred
  • Bachelor’s degree or equivalent.
  • Experience in higher education, events, communications, finance, and/or related areas.
  • Experience or familiarity with university systems such as Prime Financials, JobX, SAFE, ICIMS, EMS, Drupal, and/or Concur, among others.
