The College of Professional Studies (CPS) seeks an outstanding individual to serve as the
Program Coordinator, Academic Operations, who will provide general administrative and operational support to several CPS programs and signature events, as well as the GW Virginia Education Centers.
The purpose of this position is to provide general administrative support to and on behalf of the academic programs and initiatives. This role will serve as a point of contact for the centers and programs, will answer questions, and will assist staff with a variety of functional and administrative support. Support could include answering routine and complex inquiries, updating websites and listservs, planning and executing events, creating event marketing materials, scheduling rooms, ordering equipment, processing payments, data entry, preparing reports, and similar duties. Often these roles are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. Typical duties often are administrative in nature, including tasks that are routine and under the general supervision of more senior personnel within the department or program.
Specific Responsibilities:
Program Coordination:
Special event and site visit coordination and execution: location reservation, invitation, registration, catering, speaker and guest support, run of show, etc. Collaborates with recruitment and admission teams to support potential applicants/events. Assists with tracking program spending, payment processing, and budget oversight. Creates materials for students/faculty/staff, such as local guides and informational material, event flyers, social media posts, etc. Post-event evaluation and assessment. Communicates effectively with a diverse population at all levels, from students to deans. Collaborates with University offices and external partners.
Administrative SupportProvides front desk administration assistance and customer service. Creates and maintains a welcoming environment for all Alexandria Education Center visitors. Builds relationships within the immediate team, across University offices, and with external vendors. Assists with classroom and meeting space requests and coordination. Troubleshoots classroom issues or needs, such as technology issues, space concerns, etc. Trains and assists part-time and student workers.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. This position is on-site in Alexandria, VA with occasional assignments in Washington, DC.
Minimum Qualifications: | Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

A bachelor’s degree and 1+ years of experience in higher education administration and/or logistical event support is preferred. Excellent written and oral communication skills. Customer service-oriented person who enjoys collaborating in a diverse work environment with staff, faculty and students. Excellent attention to detail. Good computer skills. Experience with Microsoft Word, Excel, Gmail, Google Workspace, and Google calendars preferred. Comfortable learning new software and apps for general business operations. Able to maintain a positive and constructive demeanor, treating staff, students, faculty, and visitors with professionalism, courtesy, and respect.
