The
College of Professional Studies (CPS) seeks an outstanding individual to serve as the
Program Coordinator, Academic Operations, who will provide general administrative and operational support to several CPS programs and signature events, as well as the GW Virginia Education Centers.
About the RoleThe purpose of
Program Coordinator, Academic Operations position is to provide administrative and operational support for academic programs, academic operations, and Education Center initiatives. Serving as a primary point of contact, the role supports daily center functions, coordinates course scheduling and space logistics, maintains a welcoming and efficient environment, and collaborates with University partners to ensure smooth operations. The position also provides robust event support, assisting with planning, logistics, communications, and on-site execution for a variety of academic and community programs.
Additional duties include responding to inquiries; maintaining scheduling documentation, reports, and communications; assisting with classroom and technology needs; training and supporting part time and student staff; and performing routine administrative functions under the general supervision of senior personnel.
Specific ResponsibilitiesProgram Coordination:
Assists the Program Associate of Academic Operations with CPS course scheduling by coordinating with Program Directors, the Faculty Affairs Specialist, and the Registrar to update course data and maintain required scheduling spreadsheets and documentation. Supports classroom and special event location assignments at the VA Education Centers through the Coursedog system. Assists the Assistant Director of Operations with special event planning and execution, including location reservations, invitations, registration, catering coordination, speaker and guest support, run-of-show development, and on-site event support. Communicates effectively with diverse stakeholders at all levels, including students, faculty, staff, and senior leadership. Collaborates with University offices and external partners to support program and operational needs.
Administrative Support
Provides front desk administrative support and delivers high-quality customer service to students, faculty, staff, and visitors. Creates and maintains a welcoming, professional environment for all Alexandria Education Center guests and community members. Builds and sustains collaborative relationships within the immediate team, across University offices, and with external vendors and partners. Assists with classroom and meeting space requests, scheduling, and coordination. Troubleshoots classroom needs and operational issues, including technology concerns and space-related challenges. Trains, mentors, and supports part-time staff and student workers.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. This position is on-site in Alexandria, VA with occasional assignments in Washington, DC.
Minimum Qualifications: | Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Excellent attention to detail. Good computer skills. Experience with Microsoft Word, Excel, Gmail, Google Workspace, and Google calendars preferred. Comfortable learning new software and apps for general business operations. Able to maintain a positive and constructive demeanor, treating staff, students, faculty, and visitors with professionalism, courtesy, and respect.
