Program Coordinator II Full Description

Overview: 
The Office of Events is a growing department at Utah State University whose mission is to ensure that university-hosted events, conferences, and programs exceed expectations. We are seeking experienced and dynamic Event Coordinators (Program Coordinator II) to manage events ranging from simple meeting requests to multi-day conferences. It is common for events to be hosted outside of a typical working day schedule (8 AM-5 PM). Applicants should be prepared to work non-traditional hours when applying for this job, including some weekends and holidays.
 
This role involves overseeing all phases of event management, from initial planning to execution and follow-up while working with a variety of clientele. The Event Coordinator will work closely with USU departments, campus and community partners, and various vendors to deliver impactful and well-executed events. The position requires strong organizational skills, client service experience, and the ability to manage multiple projects with attention to detail.
 
The Office of Events is seeking to hire two full-time Event Coordinators, each with a specialized focus in one of the following areas:
  • Youth Programs and Conferencing
  • On-Campus Department Events
While each coordinator will begin with a primary emphasis in one of these areas, all Event Coordinators are expected to train and certify across the full range of services the Office of Events provides. Our goal is to develop well-rounded professionals who are equipped to manage diverse events and deliver exceptional experiences for a wide variety of clients. Responsibilities: 
Event & Conference Coordination:
  • Serve as the main point of contact for assigned events.
  • Consult with clients to assess event goals, requirements, and outcomes.
  • Coordinate logistics with service partners and vendors.
  • Provide on-site event support and ensure successful execution.
  • Compile and store data for post-event review and historical recordkeeping.
  • Build and maintain strong relationships with campus and community partners.
  • Create budgets estimates for clients and reconcile financials
Team Support & Collaboration:
  • Supervise and delegate tasks to assigned part-time staff.
  • Serve as the lead coordinator on assigned events and as a mentor to student employees as well as coordinators that are cross training.
Financial & Administrative Oversight:
  • Develop and manage detailed event budgets.
  • Review invoices, approve vendor payments, and complete final financial settlements.
  • Maintain accurate financial and administrative records for each event.
  • Ensure compliance with USU procedures for contracts, procurement, and billing.
 Qualifications:
Minimum Qualifications:
  • Bachelor’s degree plus two (2) years of related experience; OR six (6) years of directly related experience; OR an equivalent combination of education and experience.
  • Availability to work some evenings and weekends as required.
  • Ability to travel for off-campus events and conferences.
Preferred Qualifications:
  • Degree in hospitality, communications, or event/conference management.
  • Experience with university event coordination or familiarity with USU systems.
  • Training on event management software such as Cvent, EMS, and Coursedog.
Knowledge, Skills, and Abilities:
  • Strong customer service orientation and interpersonal communication skills.· Ability to manage multiple projects with high attention to detail and accuracy.
  • Competency in Microsoft Office and other relevant platforms.
  • Familiarity with budgeting, record keeping, and billing processes.
  • Ability to work independently, exercise discretion, and make administrative decisions.
  • Skilled in professional written and verbal communication in a fast-paced environment.
  • Ability to work effectively within a team, and effectively resolve conflict as necessary.
  • The ability to stand for long periods of time and the occasional lifting of heavy equipment.

This position operates in a professional office environment as well as on-site at various event venues, both on and off campus. The role requires frequent movement throughout indoor and outdoor event spaces, which may include standing for extended periods, walking long distances, and navigating uneven surfaces. Some lifting and transporting of event-related materials may be required. Work hours vary depending on event schedules and can include early mornings, evenings, weekends, and occasional holidays. Occasional travel is required for off-site events.
 
Mental demands of the position include managing multiple projects and deadlines simultaneously, maintaining attention to detail in a fast-paced environment, and adapting to last-minute changes or unexpected challenges. The position requires a high level of interpersonal communication, problem-solving, and customer service skills, as well as the ability to work both independently and as part of a collaborative team.
