Job Summary/Basic Function:  | The Nursing Program Coordinator provides essential operational and student support for the BSN and other nursing programs within the School of Nursing. This position supports faculty, students, and administrators by coordinating academic processes, tracking student progression across multiple cohorts, assisting with clinical documentation, supporting program events, and facilitating communication with internal and external partners. The Coordinator plays a key role in sustaining student success, program efficiency, and the continued growth of one of the university’s largest and fastest-growing programs.

Minimum Qualifications  | Bachelor’s degree and two (2) years or an associate’s degree and four (4) years from an accredited institution in a related field by start date with experience in a college/university, healthcare, or program coordination role. Strong verbal and written communication skills, with the ability to interact effectively with students, faculty, and external partners. Proficiency in Microsoft Office Suite (Word, Excel), and experience with database and records management. Ability to work independently and collaboratively with cross-functional teams in a fast-paced academic environment. Demonstrated organizational skills, attention to detail, and ability to manage multiple priorities.

Preferred Qualifications  | Experience coordinating academic or healthcare-related student services programs. Experience with university systems such as Banner, WINGS Express, Curriculog, WebXtender, or Cognos. Familiarity with website maintenance and social media platforms for outreach and engagement. Knowledge of nursing education, program progression, or clinical placement processes.

Essential Functions and percent of time:  | Program and Student Support – 50%
Serve as the first point of contact for current nursing students; respond to inquiries, schedule meetings/interviews, and provide guidance through registration, progression, and licensure processes. Track degree and program requirements; assist students and advisors in monitoring academic progress, preparing for progression reviews, and planning course schedules. Support coordination of clinical placement documentation, onboarding, and site requirements in collaboration with faculty and partner hospitals/clinics. Coordinate onboarding, orientation, and progression-related activities for new nursing cohorts. Maintain student-facing program documents such as advising guides, handbooks, progression checklists, and clinical manuals in collaboration with faculty and the BSN Program Director.

Program Operations and Curriculum Coordination – 25%
Assist nursing faculty and program directors with course and cohort scheduling, including management of multiple entry points (fall, spring, and 3 and 4-year pathways). Submit academic proposals and course changes through systems such as Curriculog and support curriculum workflow processes. Conduct degree audits and maintain databases for student progression, enrollment, and program outcomes. Support planning and documentation for state and national accreditation requirements (OBN, CCNE). Coordinate scheduling and usage of specialized facilities, such as simulation labs and clinical skills spaces, ensuring equitable access and accurate records.

Essential Functions and percent of time (cont'd):  | Recruitment, Marketing, and Events – 15%
Assist in planning and executing nursing program events such as orientations, information sessions, and recognition/pinning ceremonies. Represent the nursing program at recruitment events (e.g., Raider Open House, healthcare career fairs, Nursing Camp) in coordination with CHEH recruitment staff. Assist with the development and distribution of promotional materials, including program guides, flyers, and digital content specific to nursing. Maintain nursing program web pages and contribute to social media content in collaboration with university communications teams.

Supervision and Financial Coordination – 10%
Hire, train, and supervise student employees or graduate assistants to support program operations. Assist in tracking expenditures, reimbursements, and documentation related to nursing program purchases and clinical partner agreements. Run enrollment reports and support reporting for internal use and external stakeholders. May assist with HR-related matters such as scheduling interviews or orientations for adjunct faculty and clinical instructors. Perform other duties or special projects as assigned to support the nursing program’s strategic goals.
