Scope of Job
To perform advanced program administration for Graduate Studies within the Robert C. Vackar College of Business & Entrepreneurship, including development and coordination of recruitment, admissions, advising, enrollment management, and degree completion processes. Responsible for all phases of program development and coordination of program activities.
Description of Duties
  • Administers, directs, and coordinates graduate program administrative operations, including admissions, recruitment, advising, orientation, degree progression, graduation, and associated workflows and timelines.
  • Provides operational and documentation support for assurance-of-learning and accreditation activities, including AACSB reporting and maintenance of required records.
  • Maintains frequent interaction with University departments, special groups and external agencies in administering the program.
  • Recommends new policies and procedures for improvement of program activities.
  • Interprets, applies, and supports compliance with institutional, Graduate College, and accrediting policies, including routing student exceptions within delegated authority and ensuring adherence to FERPA, SACSCOC, AACSB, and institutional requirements.
  • Coordinates staff training and development and plans department special events.
  • Provide supervision and operational guidance to staff supporting graduate programs, including workflow coordination and training. Collaborates with faculty and academic leadership to support curricular processes, academic exceptions, and programmatic operational needs.
  • Provides leadership for graduate recruitment and enrollment management, including campaign planning, participation in recruitment events, applicant funnel monitoring, data analysis, and identification of enrollment risks and interventions, in collaboration with Strategic Enrollment and University Marketing and Communications.
  • Conducts marketing assessment for assigned area.
  • Develops, maintains, and updates graduate program operational documentation, including procedural manuals, records repositories, and process guidelines.
  • Creates and reviews reports of expenditures and activities.
  • Prepares and maintains operational reports, dashboards, and summaries related to enrollment, advising, student progression, and program outcomes; serves as the primary operational liaison with central university offices.
  • Oversees financial management of all program activities.
  • Determines work priorities and provides consultative input to the Associate Dean regarding staff workload distribution, operational effectiveness, and performance-related considerations.
  • Works on special projects as assigned.
  • Attends professional development seminars.
  • Performs related duties as assigned.

Required Education
Bachelor’s Degree from an accredited University.

Master’s Degree from an accredited University.

Required Experience
  • Five (5) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
  • Three (3) years of the required experience with a Master’s degree, or
  • Seven (7) years of the required experience with an Associate Degree or 60 hours of College Credit, or
  • Nine (9) years of the required experience with a High School Diploma or equivalent.
Preferred Experience
Experience in contract negotiations.
Equipment
Use of personal computer and other standard office equipment.
Working Conditions
Needs to be able to successfully perform all required duties. Office environment; some travel and weekend work is required. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley.
