I. JOB OVERVIEW
Job Description Summary:
The Office of Academic Planning and Assessment was created to meet the university’s growing needs for institutional data, analysis, and assessment. It includes the offices of Institutional Research and Planning, Survey Research and Analysis, which work together to provide a comprehensive analysis and interpretation of institutional data; and the Office of the Academic Editor, which reviews new program and course proposals and edits and oversees the production of the annual University Bulletin. Housed within the Division of Academic Affairs, the unit coordinates administrative planning and manages connections between administrative and academic groups. Reporting directly to the Associate Provost, the Program Manager, Academic Planning and Assessment is the key administrative professional for both the Associate Provost and the unit as a whole. This role crosses the different departments housed under the Associate Provost, coordinating functionality among them.

Operations Support:
  • Provide administrative and budgetary oversight of all units under the Associate Provost. This includes maintaining office supplies and office machines, scheduling meetings, processing invoices, and reconciling office expenses and payroll budgets. Manage and oversee the hiring and payroll for student workers.

Program Administration:
  • Support the Office, especially the Associate Provost, in administering and advancing key ongoing office and university initiatives, including Annual Program Assessment and Academic Program Review. This includes developing strategies to organize submissions, track progress, and communicate the status of the initiatives.
  • Support the Associate Provost in administering and advancing ad hoc initiatives such as accreditation, self-study, and strategic initiatives.

Program Communication:
  • Help develop effective communication strategies for the units under the Associate Provost, including the design and implementation of the office website, and written or ad hoc reports.

Support for University Bulletin:
  • Assist the Academic Editor with project management, timeline tracking and final completion of the Bulletin.
  • Coordinate with campus stakeholders (such as deans and the registrar’s office and department chairs) to ensure accurate and timely content submissions for academic programs and courses
  • Assist with the review of course submissions and other submissions.
  • Assist with the administration of assessment of student learning
  • Works closely with program managers from other departments to ensure support for updating the Bulletin. This includes providing training, documentation, and user support to faculty and staff.
  • Manage the publication platform (CourseLeaf) for the university Bulletin, ensuring daily operations run smoothly, content is accurate, and the system is fully operational.
  • Facilitate cross-functional collaboration between the Registrar’s Office, internal operations teams, and external partners to maintain data integrity within CourseLeaf and Banner and align organizational goals.

  • Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience collaborating with cross-functional stakeholders,
  • Proficiency in developing documentation, training materials, and delivering user support
  • High level of professionalism, discretion, and ability to handle sensitive information
  • Experience with Microsoft Office package, including having a high level of proficiency using Excel
  • Demonstrated ability to learn and successfully use new technology
  • Knowledge of higher education
